Job Description

The position is located within the Action Team in Base Operations, and is responsible for activities including the composition of executive level briefings for site leadership, management of site-wide actions from multiple two (2) separate agencies ensuring evaluation of assigned actions (drafting and reviewing responses and clarifying where necessary) and synthesising information for a combined organisation-wide answer, and serves as the interpersonal front-of-office focal point for specific administrative issues. The Action Officer will be expected to act as coordinator for all Base Operations Chief Base Operations and D/Chief Base Operations visitors, including distinguished visitors, preparing and coordinating agendas, arranging suitable venues and ensuring availability of required support equipment where necessary. Approves Security briefings for all new Base Operations starters regardless of Agency affiliation.

The billet also exists to respond to needs and finds opportunities for proactive engagement to perpetuate and help others sustain mission function and goals, through strong communication (via telephone, e-mail, and other applications) and interpersonal skills in order to optimally represent Base Operations organisation here at site.ResponsibilitiesCreate and maintain records, forms, logs, databases, calendars and other tracking systems in accordance with applicable regulations. The incumbent will be required to use sound logic and analysis to identify the strengths and weakness of different approaches, and weigh the costs and benefits of potential actions and decisions. This will aid in the delivery of making sound and timely decisions, and in understanding the impact and implications of their decisions.

Organisational skills are paramount. The candidate will need to utilise resources effectively and efficiently and be able to orchestrate multiple activities simultaneously to accomplish work.

Provide timely and accurate responses to requests for assistance, information, products and services, through use basic office resources, such as e-mail, web browsers, word processors, and presentation graphics, as well as face to face interactions. Use of office equipment other than computers and printers, such as copiers, scanners, and telecommunications equipment will also be a vital skill.

Management will also look for this billet to help or assist co-workers, superiors/leadership, or other employees as/when needed.
