Job summary

The post-holder will be an integral part of the Stakeholder Engagement team within the Commercial and Procurement Directorate.

Reporting to the Stakeholder Engagement Manager, the Stakeholder Engagement Officer will produce communication issued for procurement related activity across the Welsh Government. This includes external and internal communications such as the production of bilingual newsletters, stakeholder publications, internet and intranet pages, e-bulletins, social media content, films, and events.

The post holder will have a broad responsibility for delivering key aspects of a wider Communications plan to improve stakeholder Engagement and Customer service.

The role will involve working to tight deadlines and some travel around Wales.

Job description

  • To support the Stakeholder Engagement Team in delivering the Directorate engagement and communications strategy and ensure high quality delivery that is of value to both internal and external stakeholders;
  • To support in the implementation of marketing and communications activity;
  • To take responsibility for updating digital communications channels (e.g. website and other social media) to ensure a high quality service is maintained and enhanced;
  • To draft the content to update digital media for approval by the Stakeholder Engagement Manager, Director of the Commercial and Procurement Directorate and other senior managers;
  • To keep abreast of developments in communications and to incorporate digital and social media where appropriate to support integrated communications;
  • To provide high quality copy under pressure in a fast moving environment;
  • To assist in the production of a wide range of communication materials including newsletters and brochures as required;
  • To project manage, assist and deliver events (both internally and externally) to a wide range of stakeholders, including booking venues, drafting and sending out invitations, developing Programmes, arranging live webinars and communications briefs in support of events, and supporting the Stakeholder Engagement Manager in the development of briefings;
  • To support the Stakeholder Engagement Lead with regard to arranging and communicating stakeholder and customer meetings.
  • To assist in the provision of regular evaluation reports on engagement and communications activity;
  • To assist the Stakeholder Engagement Manager in monitoring the media for references to the Welsh Government Procurement Delivery Team (WGPD), Welsh public sector procurement and any other mention of public sector procurement;
  • To maintain and update the frequently asked questions relating to the Commercial and Procurement Directorate;
  • To support the communication of key messages and persuading audiences through presentations, designing and running workshops, publishing written material and organising publicity;
  • To be aware of and adhere to propriety in Government communications and to keep up to date on communication policies and procedures;
  • To adhere to exemplar quality management processes and best practice, including proof reading and data management;
  • Deputise for Stakeholder Engagement Manager as required;
  • The Stakeholder Engagement Team within CPD, including this post, may be required to provide communications and events support to the Chief Operating Officer at times.
  • Undertake a range of administration tasks relating to communications and stakeholder management activity.
