We are looking for an Administrator to help provide support at Princess Anne Hospital

Southern Health NHS Foundation Trust provide community health, specialist mental health and learning disability services for people across the south of England.

They cover Hampshire and one community service on the Isle of Wight.

We have a new role for an Administratorat Princess Anne Hospital, Level F, Coxford Road, Southampton, SO16 5YA

Working hours: Thursday and Friday 9am-5pm

This is a band 3, the pay rate is £10.81 an hour

JOB SUMMARY

• To ensure quality secretarial / administration service is provided to the team.

• To type correspondence and relevant material as service needs demand from manuscript and audio.

• To be responsible for coordination of meetings, telephone enquiries, taking messages and minute taking.

• To deal with incoming and outgoing mail as required.

• To complete filing and photocopying as required.

• To be able to enter and retrieve information from spreadsheet databases.

• To take and process telephone enquiries and referrals from University Hospital Southampton NHS Foundation Trust (UHSFT) staff teams, General Practitioners, patients/clients, relatives, other hospitals and agencies.

• To organise and input out-patient appointments.

• To maintain accurate patient information and health records for patients referred to the team.

• To ensure integrated records are kept in good order and undertake filing as required to achieve this.

• To pull case notes from the record store / RiO.

• To be responsible for the ordering of supplies for the team in accordance with SFI (Standing Financial Instructions).

• To cover for other secretary in the team during absences.

2. KEY RELATIONSHIPS

• To provide secretarial and administrative support to Consultant Psychiatrists, Team Leader, Service Manager and Practitioners.

• To organise appointments and co-ordinate medical team clinic diaries / schedules on a daily basis.

• To reschedule appointments with patients over the phone.

• To provide support to the Educational Forum (ie. setting up rooms, equipment and photocopying).

• To send out emails.

3. DIMENSIONS

• Develop administration systems to aid the smooth running of the team.

• Use a word processing package to produce letters, memorandums, notes, forms, reports and audio typing as required.

• To update electronic patient record systems (including RiO, eDocs and eCaMIS) as required (training will be provided).

• Ensure that any information required for statistical activity or audit purposes is collected and recorded in accordance with Trust policy.

• Keep records on database and produce statistics quarterly and/or as requested.

• Maintain team data collection using Excel (training provided).

• To have a working knowledge of changing out patients clinics as required (training provided).

4. OTHER RESPONSIBILITIES

• Receive supervision from Team Leader.

• Work within Trust guidelines set out in the inter-agency policy on confidentiality and the management of service user information.

• The post holder will in the course of his/her duties represent the team and is therefore expected to maintain a high standard of presentation and efficiency at all times.

• Flexible working may be required to meet the needs of the service.

• To participate in in-house training and attend mandatory training as required.

• To ensure that routine maintenance is actioned.
