The role of Admin Assistant is vital to the smooth running of our practice. We are seeking someone who is highly organised, has attention to detail, confidentiality, efficient, can communicate effectively with clinicians, staff and patients in a busy environment with a proactive approach to workload management.

Main duties of the job

  • To provide an efficient word processing services for GPs, health professionals and management team as required.
  • Liaise with secondary and primary care colleagues.
  • To complete referrals through choose and book and keep track of these.
  • Deal with private work such as insurance form completion, DVLA etc.
  • Receive electronic and paper post ensuring this is passed to the most appropriate person.
  • Monitor practice emails.

Tramways and Middlewood Medical Centres have two sites in the Hillsborough area of Sheffield.

We have a patient population of just under 11,000 patients and we are keen to provide our patients with the services they need, improve patient outcomes and give continuity of care.

We are a friendly and supportive team with lots of experienced members of staff that are on hand for advice and assistance.

We have a varied group of clinicians, with GP Partners, salaried GPs, Medical students and registrars sitting aside physios, nurse practitioners, HCA's and Receptionists to name a few.

Job responsibilities

Main Duties and Responsibilities

  • Typing letters, reports, and associated documentation as required
  • Liaising with external agencies including hospitals and community services, ensuring referrals are processed efficiently
  • Managing enquiries in a professional and effective manner
  • Maintaining an accurate referrals database
  • Processing referrals using the Electronic Referral System (ERS)
  • Processing requests for information, including Subject Access Requests (SARs), insurance/solicitor letters, and DVLA forms
  • Answering incoming telephone calls, transferring calls, or dealing with requests appropriately
  • Managing administrative queries as necessary
  • Carrying out system searches as requested
  • Supporting clinical staff with general administrative tasks as required
  • Receiving and filing pathology links for results that come into the patient's record
  • Coding medical issues in the patient record.
  • supporting flu and covid campaigns.
  • Participating in the Practice's appraisal process.

Person Specification

Qualifications

Essential

  • GCSE grade A to C in English and Maths

Desirable

  • RSA typing qualifications
  • NVQ Level 3 in Business & Administration

Experience

Essential

  • Previous experience in an administrative or medical setting
  • Excellent IT and typing skills
  • Strong organisational and time management abilities
  • High level of accuracy and attention to detail
  • Excellent verbal and written communication skills
  • Understanding of confidentiality and data protection principles
  • Ability to prioritise workload and work efficiently under pressure

Desirable

  • Experience of working in primary care
  • Experience of working with SystmOne
