Job summary

We are looking for a proactive, organised, and people-focused individual to join us in delivering high-quality care from behind the scenes.

As part of our Pharmacy Team, you'll play a key role in supporting homecare services across the Health Board, primarily based at Princess of Wales Hospital, processing prescriptions and invoices, liaising with homecare providers and clinicians, and helping ensure patients receive vital medication directly to their homes.

Previous experience in a healthcare setting is welcome but not essential. What matters most is your reliability, motivation, and commitment to supporting patient care.

Main duties of the job

The Homecare Administrative Officer plays a key role in supporting the delivery of Pharmacy Homecare Services across the Health Board, ensuring patients receive their medicines safely, efficiently and on time. Working as part of the Pharmacy team, the post holder will provide comprehensive administrative support to a growing number of clinical specialities using homecare services.

Key responsibilities include processing homecare prescriptions, creating and managing patient-specific orders, receipting goods, checking and reconciling invoices, and maintaining accurate electronic and paper records. The role involves regular liaison with homecare providers, clinicians, pharmacy staff, patients and carers to resolve queries, monitor outstanding orders, and support continuity of medicine supply. Financial accuracy and attention to detail are essential, alongside compliance with standing financial instructions, standard operating procedures and information governance requirements.

The post holder will be required to manage a varied workload, prioritise tasks effectively, and use initiative to deal with routine issues independently, escalating more complex matters as appropriate. Job responsibilities

Homecare Administration:Manage homecare prescriptions, orders, deliveries and invoicing using pharmacy systems, ensuring accurate processing and timely supply of medicines to patients homes.

Service Coordination:Liaise with homecare providers, clinicians, pharmacy teams, patients and carers to support smooth delivery of homecare services across the Health Board.

Order & Invoice Management:Monitor outstanding orders and invoices, chase progress, resolve routine issues, arrange returns or credits, and minimise waste in line with financial and governance requirements.

Data & Records Management:Maintain accurate electronic and paper records for homecare patients, ensuring data quality, confidentiality and compliance with information governance standards.

Problem Solving:Investigate and resolve routine issues such as delivery delays, supply problems or invoicing queries, escalating more complex matters where appropriate.

Communication & Customer Service:Respond professionally to telephone and email enquiries from healthcare professionals, suppliers and patients, maintaining confidentiality and a patientfocused approach.

Policy, Procedures & Improvement:Work in line with SOPs, standing financial instructions and governance policies, contributing to service development within a growing homecare service.

Welsh Skills Desirable: This post is advertised as Welsh Desirable. This doesnt mean essential; whilst the candidate doesn't need to have skills in Welsh, we'll consider it an advantage when short-listing candidates. This isnt fluency, just Speaking & Listening skills at Level 3 (equivalent to CEFR B2) or above. Level 3 means basic conversations with patients about their everyday health.
