Job summary

Fixed-term for 12 months.

We are seeking committed individuals to join our Therapies Administration Team. You will be part of a small, supportive team providing vital administration and reception cover across all Therapy areas. This includes welcoming patients, managing appointments and records, and carrying-out a variety of administrative tasks to ensure the smooth running of services.

The Therapies Administration Team supports all South Tyneside and Sunderland NHS Foundation Trust (STSFT) sites and plays a key role in delivering an excellent patient experience and supporting our clinical colleagues.

Main duties of the job

As part of the Therapies Administration Team, you will:

Provide reception cover across a range of Therapy services, greeting patients and supporting them with appointment arrangements.

Manage patient records, correspondence, and general administrative tasks to ensure information is accurate and up-to-date.

Support the smooth running of clinics by managing post, generating standard letters, and booking follow-up appointments when required.

Deal with enquiries from staff, patients, and the public, both face-to-face and by telephone, in a professional and helpful manner.

Rotate between reception areas across Trust sites, ensuring consistent cover and service delivery.

The Team works across a range of shift patterns (7.30am-3.30pm, 8.00am-4.00pm, 8.30am-4.30pm and 9.00am-5.00pm, Monday to Friday). You will need to be flexible and adaptable to support cover across the Service when required.

Job responsibilities

The Postholder will undertake general Reception duties along with other administrative support, required for the day-to-day running of the Therapy Service Departments. The Postholder will be expected to rotate between varying Reception areas across the Trust.

Person Specification

Physical Skills

Essential

  • The Post will involve sitting in a restricted position at a computer for long periods of the working day, looking at a screen.
  • Required to physically lift bags or boxes containing case notes, you will also be required to be able to file and retrieve case notes from a Library setting.

Skills & Knowledge

Essential

  • Good oral, written and interpersonal skills for both reception work and answering telephone queries.
  • Ability to use Windows-based IT systems at basic level.
  • Standard keyboard / typing skills.
  • Planning and organisational skills to manage own workload effectively.
  • Evidence of good communication skills.
  • Knowledge of e-mail and Microsoft packages.
  • Excellent attention to detail and focus to ensure accurate input data.

Desirable

  • Knowledge of Meditech V6.
  • Knowledge of Medisec.
  • Knowledge / awareness of Data Protection and Information Governance guidelines.

Experience

Essential

  • Knowledge of patient administration systems acquired through on-the-job training and experience (NVQ Level 2 equivalent).
  • Experience of working in a busy office environment with proven experience of prioritising workloads.
  • Experience of working as part of a team, co-operating with other team members to achieve deadlines.

Desirable

  • Knowledge of the NHS.

Qualifications

Essential

  • Evidence of good standard of Education in Numeracy and Literacy at minimum GCSE C / 4 Grade or equivalent (Level 2) .
