Job summary

We are seeking an experienced and proactive Clinic Supervisor to manage the daily operations of our Solihull branch. This is a key role that combines clinic coordination, people management, patient service, and local business development.

As Clinic Supervisor, you'll be the face of the clinic for both patients and professional referrers, ensuring operations run smoothly, clinical spaces are properly maintained, and patients receive a seamless and professional experience. You'll also take an active role in building and nurturing relationships with local GPs, specialists, and healthcare providers to support referral growth and business development.

Main duties of the job

Clinic Operations & Administration

  • Oversee daily operations to ensure the smooth and professional running of the Solihull clinic

  • Prepare daily clinic lists for imaging teams

  • Ensure consulting and imaging rooms are clean, fully stocked, and clinic-ready

  • Perform daily invoicing and work closely with central finance on payment reconciliation

  • Handle walk-in and phone-based bookings, take payments, and manage telephone and email queries

  • Ensure accurate and timely records of patient attendance, payments, and service usage

  • Conduct weekly and monthly stock checks and order medical/admin supplies in advance

  • Maintain good relationships with suppliers and manage delivery logistics

  • Be the on-site point of contact for staff support, scheduling adjustments, and issue escalation

  • Respond to referrer queries promptly and professionally

  • Coordinate occasional outreach or marketing efforts to promote clinic services

  • Track and report referral patterns, feeding insights back to the wider operations and marketing teams

  • Provide a warm, professional, and reassuring welcome to all patients and visitors

  • Maintain a high standard of customer service, ensuring privacy and respect at all times

  • Handle sensitive or urgent enquiries with discretion and efficiency

Job responsibilities

Clinic Operations & Administration

  • Ensure consulting and imaging rooms are clean, fully stocked, and clinic-ready

Stock & Supply Management

Team Supervision

  • Uphold TIC Health's policies on dress code, behaviour, and performance

  • Be the on-site point of contact for staff support, scheduling adjustments, and issue escalation

Business Development & Referrer Relationship Management

  • Proactively build and maintain relationships with local GPs, consultants, and medical secretaries

  • Respond to referrer queries promptly and professionally

  • Coordinate occasional outreach or marketing efforts to promote clinic services

  • Track and report referral patterns, feeding insights back to the wider operations and marketing teams

Patient Experience & Front Desk Duties

  • Provide a warm, professional, and reassuring welcome to all patients and visitors

  • Maintain a high standard of customer service, ensuring privacy and respect at all times

  • Handle sensitive or urgent enquiries with discretion and efficiency

  • Answer incoming telephone calls to the main TIC Heath phone number.

  • Assist and monitor the main TIC Health enquiry inbox.

Person Specification

Experience

Essential

  • Experience in a similar supervisory or front-of-house role within a private or NHS medical or clinical setting
  • Strong administrative and operational management skills
  • Proven ability to handle invoices, bookings, and day-to-day clinic logistics
  • Excellent interpersonal and communication skills, both with patients and colleagues
  • Confidence building relationships with external stakeholders or referrers

Desirable

  • Familiarity with diagnostic imaging, cardiac screening, or private GP services
  • Experience using clinical software systems or patient management systems
