Job summary
We are looking to employ a Cleaning Supervisor to support our current domestic cleaning team.
The role is 30 hours per week, Monday to Friday working 06:00am-10:00am each day and returning 18:00pm-20:00pm.
The Cleaning Supervisor is responsible for the day-to-day supervision of domestic cleaning services within the GP practice, ensuring that a consistently high standard of cleanliness, hygiene, and infection prevention is maintained across all clinical and non-clinical areas.
The post holder will supervise cleaning staff, coordinate rotas and workloads, monitor cleaning standards, undertake quality assurance checks, and support compliance with NHS cleaning standards, infection prevention and control requirements, and Health and Safety legislation. They will contribute to maintaining a safe, clean, and welcoming environment for patients, visitors, and staff. The supervisor will complete general cleaning duties supporting the cleaning team members.
Main duties of the job
Main duties will include but are not limited to;
- Supervise and support the domestic cleaning team on a day-to-day basis.
- Allocate workloads to ensure all areas are cleaned according to agreed schedules.
- Develop and manage staff rotas to ensure appropriate service coverage.
- Authorise and coordinate annual leave requests while maintaining adequate staffing levels.
- Monitor staff attendance and report concerns in accordance with practice policies.
- Provide induction, training, and ongoing support for new and existing staff.
- Conduct probationary reviews, annual appraisals, one-to-one meetings, and performance reviews.
- Identify training needs and support staff development.
- Complete general cleaning duties supporting the cleaning team.
- Complete premises checks
- Work closely with the Infection Prevention and Control (IPC) Lead to support compliance with infection prevention standards.
- Support the practice in achieving and maintaining compliance with Care Quality Commission (CQC) standards relating to cleanliness and infection control.
- Ensure compliance with Health and Safety legislation, COSHH regulations, risk assessments, and practice policies.
- Participate in internal audits and external inspections where required.

Pennygate Medical Centre is a large GP practice offering services to 19,000 patients with a large team of employees.
The practice comprises of 9 GP Partners, 3 ANP's, 6 Practice Nurses, 3 HCA's, reception team, administration team and domestic team.

Job responsibilities
Main Duties and Responsibilities
The Cleaning Supervisor will be responsible for supervising the delivery of high-quality domestic cleaning services across the GP practice, ensuring a safe, clean, and hygienic environment for patients, visitors, and staff.
Staff Management and Supervision
- Supervise the day-to-day work of the domestic cleaning team, ensuring duties are completed to the required standard.
- Organise and manage staff rotas to ensure adequate staffing levels are maintained at all times.
- Coordinate and approve annual leave requests, balancing service needs with staff wellbeing.
- Allocate daily tasks and adjust workloads to meet operational demands.
- Provide induction, training, mentoring, and ongoing support to new and existing cleaning staff.
- Conduct probation reviews, annual appraisals, regular one-to-one meetings, and performance reviews in line with practice policies.
- Identify training and development needs and support staff to achieve required competencies.
- Address performance issues promptly and escalate concerns to the Practice Manager where appropriate.
Cleaning Standards and Quality Assurance
- Ensure all areas of the practice are cleaned and maintained to NHS standards of cleanliness.
- Develop, implement, and regularly review cleaning schedules for all clinical, non-clinical, and communal areas.
- Carry out routine cleaning spot checks and documented quality assurance inspections to monitor standards.
- Maintain accurate records of cleaning audits, inspections, and corrective actions.
- Investigate and respond to concerns relating to cleanliness and ensure remedial actions are completed.
- Ensure cleaning equipment is maintained, used safely, and reported for repair or replacement when necessary.
- Complete general cleaning duties supporting the cleaning team
Infection Prevention and Control
- Work closely with the Practice Infection Prevention and Control Lead to support the delivery of effective infection prevention measures.
- Ensure cleaning practices comply with national guidance, local policies, and infection prevention procedures.
- Promote best practice in infection prevention and ensure staff understand and follow appropriate cleaning protocols.
- Support enhanced cleaning programmes during outbreaks or following identified infection risks.
- Participate in infection prevention audits and implement improvement actions where required.
Premises and Environmental Checks
- Undertake regular premises inspections to ensure the environment remains safe, clean, and fit for purpose.
- Identify and report maintenance issues, environmental hazards, or health and safety concerns promptly.
- Support the monitoring of waste management processes and ensure waste is segregated and disposed of appropriately.
- Ensure cleaning stores and equipment storage areas remain safe, organised, and compliant with Health and Safety requirements.
Health and Safety
- Ensure compliance with Health and Safety legislation, COSHH regulations, risk assessments, and safe systems of work.
- Promote safe working practices within the cleaning team and ensure appropriate use of personal protective equipment (PPE).
- Report accidents, incidents, near misses, and hazards in accordance with practice procedures.
- Ensure cleaning chemicals are stored, handled, and used safely in accordance with manufacturer guidance and COSHH requirements.
Administration and Record Keeping
- Maintain accurate records relating to staff rotas, annual leave, training, appraisals, cleaning schedules, audits, and quality assurance activities.
- Monitor cleaning stock levels and inform the Practice Manager when replenishment is required.
- Contribute to the development and review of cleaning procedures and operational documentation.
Communication
- Maintain effective communication with the Practice Manager, Infection Prevention and Control Lead, clinicians, administrative staff, contractors, and external organisations where appropriate.
- Escalate concerns relating to staffing, infection prevention, premises, or cleaning standards in a timely manner.
- Promote effective teamwork and foster a positive working environment.
Continuous Improvement
- Contribute to the continuous improvement of domestic services through regular monitoring, audit, and feedback.
- Support the practice in maintaining compliance with Care Quality Commission (CQC) standards relating to cleanliness, infection prevention and control, and patient safety.
- Participate in mandatory training, team meetings, and relevant professional development opportunities.
- Undertake any other duties commensurate with the responsibilities of a Band 3 Cleaning Supervisor as reasonably requested by the Practice Manager.
