  • Based at George Eliot Hospital, Nuneaton, this role will provide effective administrative support to the George Eliot Hospital Charity (GEH Charity) working closely with the charity, finance and clinical teams.
  • This role is a key position at the charity working on day-to-day administrative tasks including grant application requests, processing donations, producing thank you letters and creating reports along with supporting various fundraising activities.

Main duties of the job

  • Processing donations and regular gifts to ensure they are correctly added to the fundraising database and thanked in a timely manner.
  • Support fundraising team with administration of fundraising campaigns and events.
  • Manage all grant applications from start to finish, assisting with grant application form completion, supporting applicants to obtaining correct signatories, raising purchase orders, placing orders and advising on receipt of delivery.
  • Lead on weekly grant application catch up meeting and actions to take forward.
  • Keep Fundraising Coordinator update on all GEH marketing opportunities for social media and naming tags.
  • Take a leading role in managing the administration of fundraising resources, ordering stock, and recording orders on the database.

Job responsibilities

  • Processing Gift Aid claims in conjunction with the finance team and working across the team to make sure Gift Aid declarations are up to date and accurate and that Gift Aid claims are maximised.
  • Support the Fundraising Manager and Coordinator with stewardship of small and unsolicited donations as required.
  • Record all cheques and donations received and prepare for thanking.
  • Manage administration of online fundraising tools, such as JustGiving and Much Loved.
  • Act as first contact for fundraising enquiries over the phone and via email and delegate to the correct team member.
  • Send out fundraising materials and resource packs to individual fundraisers, community groups and corporate supporters. Monitor fundraising materials stock levels and handle reorders.
  • Provide reports and information as required.
  • Manage and maintain fundraising and office filing systems, and database, ensuring our records are in line with adequate retention periods as required by policy.

Person Specification

Experience and Knowledge

Essential

  • Computer literate and proficient in the use of common software such as Microsoft Office
  • Basic financial tracking and management
  • Using CRM effectively to input and manage information and data
  • Adaptability adjusting to new priorities and unexpected challenges

Desirable

  • Knowledge of using a procurement system to purchase items
  • Ability to research information for projects or analysis

Qualifications(s) and Professional Training

Essential

  • Level 2 Diploma in business admin or acquired equivalent experience in relevant discipline

  • Professional qualification in fundraising
