We are seeking a professional, compassionate, and highly organised Receptionist to join our busy GP Practice. As the first point of contact for our patients, you will play a vital role in creating a welcoming environment and ensuring the smooth day-to-day running of the practice.

We are flexible with working hours for the right candidate with the possibility to look at part-time, full-time or a job share.

Our operational hours are: Monday to Friday 7.45am to 6.30pm with a rota system to cover extended hours (currently Tuesday evenings until 8pm).

Main duties of the job

Key Responsibilities

  • Greeting patients and visitors in a friendly and professional manner
  • Managing incoming telephone calls and patient enquiries
  • Booking, amending, and cancelling appointments
  • Processing repeat prescription requests
  • Handling patient registrations and updating records accurately
  • Managing correspondence and administrative tasks
  • Managing practice email inbox
  • Handling patient letters through workflow and scanning paper documents to patient records
  • Manage record movements and subject access requests
  • Liaising with GPs, nurses, and other healthcare professionals
  • Maintaining patient confidentiality at all times
  • Supporting the wider practice team to ensure excellent patient care

Desirable Experience
  • Previous reception, customer service, or administrative experience
  • Experience within a GP Practice, NHS, or healthcare setting
  • Knowledge of clinical systems such as SystmOne & ICE (training can be provided)

Job responsibilities

The duties and responsibilities to be undertaken by members of the Practice team may include any or all of the items in the following list:

1. Ensure and effective and efficient Reception service is provided to patients and any other visitors to the Practice.

2. Initiating contact with and responding to requests from patients, other team members and associated healthcare agencies and providers.

3. Deal with all general enquiries, explain procedures and make new/follow up appointments.

4. Using your own judgment and communication skills ensure that patients with no prior appointment but who need an urgent appointment are seen in a logical and non-disruptive manner.

5. Explain Practice arrangements and formal requirements to new patients and those seeking temporary cover, ensuring all procedures are completed.

6. Receive and make telephone calls as required. Divert/Transfer calls, take messages and ensure accuracy of detail and prompt delivery of information to the correct department/team member.

7. All home visit requests are to be added to the On Call Dr rota promptly.

8. Process and action repeat prescription requests in accordance with Practice guidelines and ensure that they are ready for collection by the patient within 48 hours, using the clinical software.

9. To uphold and abide by the Practice Policy, requirements to support patient service delivery and to assist in the distribution of relevant Practice leaflets, booklets, health promotion questionnaires to patients.

10. Advise patients and take payment of relevant charges for private (non GMS) services and provide admin support for the generation of medical reports.

11. Computer data entry/data allocation and collation. Processing and recording information in accordance with Practice procedures.

12. Scanning of relevant documentation to be work flowed for appropriate action.

13. Ensure all George Lloyd files are stored in alphabetical order within the filing system.

14. Ensure all new patient registrations are actioned promptly and entered onto the clinical software accurately to prevent duplicate records.

15. Use of Microsoft, to support the Practice and non-clinical teams with Word / Excel/ Along with filing, photocopying and scanning.

16. Ensure Reception and Waiting Room is kept neat and tidy.

17. Adhering to the Start and End of Day process.

18. Undertake any additional duties as required by the Practice and appropriate to the Reception role.

Essential

  • Experience of working with the general public.
  • Experience with Customer Service
  • Experience of working within a Receptionist position

Desirable

  • Experience of working in General Practice preferred by not essential

Qualifications

Essential

  • Good standard of Education
  • GCSE Mathematics and English - Grade C or above

Desirable

  • AMSPAR Reception Certificate
  • NVQ II in Customer Care
  • CLAIT Qualification
