Job summary

Medical Secretary 30 hours per week £24,909 - £27,433 per annum pro rata depending on experience

We are seeking to recruit an enthusiastic, reliable, highly motivated individual with excellent customer care skills to join our existing secretarial team. You will be responsible for working within a busy department, working together as a team to help patients, support the doctors and extended multidisciplinary team.

As a member of the secretarial team, you will have Excellent organisational skills, team working and problem solving skills, together with in depth knowledge and experience of working with the general public with a caring approach.

Main duties of the job

The successful candidate will:

Be flexible in approach, both with working patterns and duties performed.

Working hours are 30 hours per week 7.5 per day worked over 4 days between Monday and Friday (Tuesday or Thursday would be the non-working day.

Be professional at all times with a kind and caring disposition that satisfies the needs of our patient cohort.

Be able to respond to the various demands and challenging circumstances of general practice.

Have secretarial and minute taking experience will be an advantage.

Have experience of working in a busy office environment and working under pressure, within a GP surgery.

Have a good understanding of GP surgery processes and procedures.

Have good IT skills, ideally with experience of clinical software such as Emis Web.

Responsible for:

To be responsible for undertaking a wide range of secretarial and administrative duties and the provision of administrative support to the multidisciplinary team.

Job Purpose:

To provide an efficient and timely secretarial and administration service to the doctors, Practice Operations Manager and other team members in a timely manner. Liaising with multidisciplinary team members and external agencies such as secondary care and community service providers in accordance with current policies.

Duties and Responsibilities

Secretarial Duties

Type letters, reports and other documents as required by the partners, Practice manager and other team members

Create referrals and basic TWIMC letters from patient notes

Liaise with hospital and community departments regarding patient care, appointments, etc.

Process all referrals and forward to appropriate departments

Ensure telephone enquiries are dealt with in a courteous and timely manner and take messages as appropriate

Manage all insurance forms, medical reports, benefit forms, private medicals and other non-NHS funded work.

Invoice for non nhs funded work and maintain log

Maintain and action referrals database on E-referral service, including referrer action required list and awaiting booking & acceptance list

Monitor advice & guidance requests

Co-ordinate issue of death certificates and cremation paperwork

Maintain and monitor coroners portal

Co-ordinate and liaise with cemetery office for medical referee cremation paperwork

Co-ordinate and liaise with patient relatives, Gps, coroners office the MES service for death certificate paperwork

Provide safeguarding admin support to safeguarding leads

Take notes and attendance log at Practice meetings when required

Undertake photocopying / filing as required

Administration Duties

Action tasks as required

Maintain audit data regarding hospital DNAs

Monitor progress of 2 week cancer referrals and weekly audit

Participate in providing holiday/sickness cover for scanning, and other admin or reception duties as required

General

Observe health and safety guidelines at all times

Use of the Practice Intranet System

Maintain confidentiality, data protection, access to records and information governance procedures, seeking advice from Caldicott and Information Governance Leads, and ensuring all training is up to date

General I.T. skills

To be up to date with all mandatory training and undertake training from time-to-time to ensure knowledge and skills are updated.

Take part in the Practice Appraisal process at least once annually or as required

Attend Practice meetings as deemed necessary

Observe and follow local policies and guidelines of statutory child/vulnerable adult health safeguarding.

Always observe health and safety guidelines and ensure that the Practice premises are kept clean and tidy, noticeboards and admin areas are tidy and free from obstructions and clutter.

To maintain confidentiality at all times.

Understand and apply legal policy that supports the identification of vulnerable and abused children and adults, being aware of statutory child/vulnerable adult health procedure, safeguarding and local guidance.

Any other reasonable duties that may be required from time-to-time
