Medical Secretary / Reception Support

We are looking for an experienced and enthusiastic Medical Secretary / Reception Support to join our friendly GP practice team.

The ideal candidate will possess excellent communication and organisational skills, a professional telephone manner, and the ability to deal appropriately with sensitive and confidential information. You will be able to remain calm under pressure; prioritise your workload effectively and consistently work to deadlines.

This is a varied role which will, during periods of staff absence or increased demand, incorporate reception cover on an ad-hoc basis to meet the needs of the Practice. This may occasionally involve an earlier start or later finish.

Main duties of the job

Main Duties and Responsibilities

  • Undertaking a variety of secretarial and administrative duties, including typing referral letters and processing referrals via the NHS e-Referral Service.
  • Processing applications for private medical reports, insurance claims and other private work, including requests for access to patient records.
  • Summarising and read coding relevant information from patient clinical records and hospital correspondence.
  • Dealing with telephone queries from patients, hospitals and external agencies.
  • Liaising with secondary care providers and other healthcare organisations.
  • Filing and general administrative duties.
  • Providing reception support when required.

Helix Medical Centre is based within Herts and Essex Community Hospital in Bishop's Stortford. We pride ourselves on delivering professional medical care in a friendly environment while striving to meet all the challenges of modern General Practice.

We are members of the local Primary Care Network providing extended services as a hub to the local community. We also work with Allied Health professionals together with an expanding complement of ARRs staff including Physicians Assistant, Clinical Pharmacist, Community Paramedic, Community Midwife, Health and Wellbeing Advisor, Care Co-ordinator, Social Prescribers and First contact physio, Dietician etc. There is a wide socio-economic and demographic served within our catchment area providing an interesting and varied case mix.

Job responsibilities

Essential Requirements

  • Previous experience working as a Medical Secretary and Reception Support.
  • NHS experience.
  • Experience using the SystmOne clinical system.
  • Excellent communication and organisational skills.
  • Ability to work accurately and efficiently under pressure.
  • Ability to work both independently and as part of a team.
  • Flexible approach to covering additional hours, annual leave and sickness absence when required.
  • NHS Smartcard desirable.

Hours of Work

38 hours per week:

  • Monday: 8:00am 6:30pm
  • Tuesday: 8:00am 6:30pm
  • Thursday: 8:00am 6:30pm
  • Friday: 8:00am 6:30pm

Salary and Benefits

  • £12.71 per hour
  • 5.6 weeks annual leave inclusive of bank holidays

Pension: Option to join NHS Pension scheme.

Qualifications

Essential

  • Candidate must be able to work cohesively as part of a team and be capable of working in a fast paced and at times stressful environment. Positivity and a robust nature are a must! You will be required to cover additional hours re staff holidays and sickness sometimes at short notice, which may include a later finish. The ideal candidate must be confident, a quick learner, possess excellent communication and organisational skills, have a polite telephone manner along with the ability to deal with sensitive / confidential issues appropriately whilst remaining calm under pressure.

Desirable

  • Previous experience working in a medical environment Previous experience working in a GP practice Able to handle a fast paced environment SystmOne Experience Access to an NHS Smartcard
