Job summary

To provide a comprehensive, confidential, and efficient medical secretarial service to the GPs and wider clinical team. The role involves managing referrals, processing clinical correspondence, maintaining accurate patient records, and supporting the smooth day-to-day running of the practice while delivering a high standard of patient care and administrative support.

Main duties of the job

Key Responsibilities

  • Provide a professional and confidential secretarial service to GPs and other healthcare professionals.
  • Prepare, format, and process referral letters, medical reports, and other clinical correspondence.
  • Manage patient referrals using the NHS e-Referral Service (formerly Choose and Book), ensuring referrals are accurate, timely, and appropriately tracked.
  • Process incoming hospital correspondence, clinic letters, and test results, ensuring they are accurately filed and actioned within SystmOne.
  • Use SystmOne to maintain accurate patient records, update demographic information, code documents where appropriate, and manage electronic workflows.
  • Monitor referral pathways and follow up outstanding appointments or correspondence where necessary.
  • Liaise with hospitals, community services, and other healthcare providers regarding referrals, appointments, and patient queries.
  • Respond to patient enquiries relating to referrals, appointments, and medical correspondence in a courteous and professional manner.
  • Prioritise workload to meet deadlines while maintaining a high level of accuracy.
  • Ensure compliance with NHS guidelines, GDPR, confidentiality policies, and practice procedures.
  • Support clinicians with administrative tasks as required.
  • Participate in practice meetings, mandatory training, and continuous professional development.

We are a large, very busy practice with a large clinical team supported by an excellent administrative team.

The secretarial team consists of 4 medical secretaries (you would be covering maternity leave for one of the team). They work closely together in a friendly and pleasant environment.

Person Specification

Experience

Essential

  • Previous experience working as a medical secretary or administrator within an NHS setting.
  • Excellent typing and keyboard skills with a high level of accuracy.
  • Strong organisational and time management skills.
  • Excellent written and verbal communication skills.
  • Ability to work independently and as part of a multidisciplinary team.
  • Understanding of patient confidentiality, GDPR and information governance.
  • Knowledge of medical terminology.

Desirable

  • Proficient in using SystemOne.
  • Experience using the NHS Referral System (Choose and Book).
  • Knowledge of NHS referral pathways and waiting list processes.
