Job summary

To provide a comprehensive and efficient secretarial service for the Department of Dermatology.

The post holder will be required to be flexible to meet the needs of the service.

Main duties of the job

In conjunction with the medical secretaries, support the Consultants, Nurse Specialists and the wider department by undertaking a range of support secretarial duties.

Work alongside the medical secretarial team at all times with increasing responsibility during the absence of their Band 4 colleagues. The role consists of dealing with telephone messages, taking minutes of meetings, and undertaking any urgent typing for the Consultants and the wider clinical team ensuring clinicians instructions are acted upon and completed.

Using G2 to type patient letters relating to clinic appointments, discharge summaries, tests etc. from longhand or verbal dictation to meet Trust Standards.

Work in conjunction with the medical secretarial team by having regular telephone contact with patients and other healthcare professionals internally and externally and occasionally face to face.

Take accurate messages related to consultant / secretary regarding patient enquiries.

Provide support as part of the medical secretarial team in the management of the day case process ensuring all information is accurately entered onto the hospital's electronic patient record (EPR).

This vacancy is advertised on a fixed term contract basis for a maximum period of twelve months due to maternity leave of the substantive post holder. The fixed term contract status of the post holder will be reviewed in accordance with the Trust's legal obligations regarding fixed term contracts and statutory maternity provisions.

Please note all existing NHS staff will only be considered on a secondment basis. This must first be agreed with your current line manager.

Qualifications

Essential

  • 3 GCSE's (or equivalent) including English at grade 4/C or above
  • OCRII word processing (or equivalent demonstrable NHS experience as a support secretary)

Desirable

  • Experience of Microsoft packages
  • Medical Audio Qualification

Experience

Essential

  • Experience in an audio typist / secretarial role within the NHS
  • Experience of dealing with the public

Desirable

  • Experience of medical terminology
  • Experience of minute taking
  • Previous experience of using a patient record system (Lorenzo/Connect)

Further training

Essential

  • Experience of using the medical secretarial module in Lorenzo/Connect (or other hospital system)
  • To actively undertake appraisals and job specific mandatory training as required by the Trust
  • Knowledge of 18 Week RTT
  • Willingness to undertake training as required by specific post

Desirable

  • Knowledge of patient record systems
  • Customer Care training
  • Knowledge of STH specific policies such as the Access Policy.
