Main duties of the job

Key Responsibilities

  • Work collaboratively with the GP Partners and Operational Manager to oversee the day-to-day running of the practice

  • Support strategic and operational management of practice services

  • Support staff management, recruitment, induction, appraisals, and HR processes

  • Ensure compliance with NHS Wales, Health Board, contractual, HIW, GDPR, and regulatory requirements

  • Coordinate clinical and administrative rotas, ensuring safe and efficient staffing levels

  • Support planning and coordination of GP and nursing clinics

  • Maintain high standards of patient care, patient safety, and service delivery

  • Liaise with external organisations including Hywel Dda University Health Board, Cluster Network colleagues, community services, universities, and other stakeholders

  • Support quality improvement initiatives, Enhanced Services, QOF delivery, audits, and practice development

  • Work confidently with EMIS Web and support the effective use of digital systems and workflows

  • Coordinate and oversee medical student placements.

  • Oversee significant event reporting, complaints management, safeguarding processes, and incident handling in line with NHS Wales guidance

  • Support implementation of Welsh Government and Health Board primary care initiatives

  • Ensure policies, protocols, and risk assessments are maintained and regularly reviewed

  • Coordinate infection prevention and control, health and safety, and business continuity arrangements

  • Attend meetings where required

About us

Coalbrook Surgery is in the village of Pontyberem, equidistant from the towns of Carmarthen and Llanelli and is part of the Amman Gwendraeth Cluster. It is a well established, friendly Practice, currently consisting of 3 GP Partners who are supported by an excellent nursing team and an enthusiastic, competent administrative team.

About the Role

We are seeking an enthusiastic, organised, and experienced Primary Care / Practice Manager to join our friendly and supportive GP practice team.

This is an excellent opportunity for a motivated manager to work closely with the GP Partners, Operational Manager, and wider multidisciplinary team to ensure the smooth, efficient, and effective day-to-day running of the practice.

We are a small, well-established GP practice serving approximately 5,000 patients, supported by 3 GP Partners alongside a dedicated team including 2 Practice Nurses, 1 Healthcare Assistant, an Operational Manager, and a large experienced administrative and reception team. The practice also supports medical student placements as part of its training and educational commitment.

The Practice Manager plays a key role in fostering and sustaining a positive, well-structured, and efficient working culture, ensuring that systems, people, and processes work together effectively to support high-quality patient care.

The role is available on a part-time basis, working between 2432 hours per week, and offers the opportunity to contribute to the continued development of high-quality patient services within a close-knit and supportive environment.

Key Responsibilities

  • Work collaboratively with the GP Partners and Operational Manager to oversee the day-to-day running of the practice

  • Work confidently with EMIS Web and support the effective use of digital systems and workflows

  • Coordinate and oversee medical student placements, including induction, scheduling, supervision arrangements, and liaison with educational bodies

  • Oversee significant event reporting, complaints management, safeguarding processes, and incident handling in line with NHS Wales guidance

  • Support implementation of Welsh Government and Health Board primary care initiatives

  • Ensure policies, protocols, and risk assessments are maintained and regularly reviewed

  • Coordinate infection prevention and control, health and safety, and business continuity arrangements

  • Support multidisciplinary team working and foster a positive, collaborative team culture

  • Monitor and improve patient access, workflow systems, and administrative efficiency

  • Attend practice, cluster, and Health Board meetings where required

  • Support workforce development and staff training coordination

  • Maintain confidentiality and information governance standards at all times

About You

We are looking for someone who is:

  • An experienced manager, ideally within primary care or healthcare

  • Confident, organised, and able to work independently

  • An excellent communicator with strong leadership and interpersonal skills

  • Able to prioritise workload and meet deadlines effectively

  • Proficient in general IT systems and practice software

  • Experienced and confident in using EMIS Web

  • Knowledgeable about NHS Wales primary care systems and processes

  • Familiar with QOF, Enhanced Services, clinical governance, and regulatory compliance requirements

  • Comfortable supporting medical student placements within a primary care setting

  • Able to work effectively alongside an Operational Manager in a shared leadership structure

  • Skilled in managing rotas and supporting clinic coordination

  • Committed to delivering high-quality patient-centred services

  • Able to support, motivate, and develop teams within a busy healthcare environment

  • Salary dependent on experience (£35,000£45,000 per annum, pro rata depending on hours worked)
