The Facilities Team is expanding to enable effective implementation of our current investment projects together with the ongoing building management within the Alice Holt Research Station. The Alice Holt Research Station is a complex site with wide range of buildings and other structures: Alice Holt Lodge, multiple laboratories, greenhouses, growth chambers and a wide range of site infrastructure.

Management of the site includes a wide range of planned and reactionary maintenance work along with a significant ongoing capital investment programme.

Job description

The role involves:

  • Planning and organising the day-to-day management of planned and reactive maintenance work across the Alice Holt Research Station to ensure that the site meets all statutory requirements and safe working practices. This will involve instructing and supervising contractors on site, responding to enquiries and reports, providing advice to users, fault finding, maintenance and repair work as required.
  • Supporting the Facilities Manager in delivering any other new projects which could involve customer liaison; writing the brief for works; appointment, management and co-ordination of external service providers; stakeholder liaison.
  • Proactively supporting FRs Environmental Management System for energy, waste and water from the estate to ensure FRs ongoing ISO14001 certification, environmental best practice and support for the Greening Government Initiative.
  • Deputising for Facilities Manager as required on the wider estate.

Key work areas

  • Manage communications with end users and suppliers
  • Manage contractor diaries, site management of contractors including induction and toolbox talks
  • Manage reactive and minor works while supporting the planning of future maintenance activities
  • Coordinate any overlaps with stakeholders and any other programmed work
  • Help managing site compliance, asset management and systems
  • Support the wider Estates team with any additional ad hoc tasks
  • Work with other Estates colleagues on other capital improvements events
  • Review / contribute to the asset management systems and document status

A typical day will start with managing contractor access / inductions, following up with any reactive maintenance events picked up from overnight on the campus site, sourcing the appropriate resolution supplier choice.

As part of the role, the post holder will also monitor supplier activities to ensure safe practices. They will also help ensure planned maintenance events and schedules are on track, and that activity does not conflict with users or other programmed works.

Person specification

Essential Criteria

  • Experience of planning and managing contract work and of supervising contractors to meet required technical standards and safe working practices.
  • Awareness of planned maintenance schedules to be competent to manage and supervise contractors and suppliers.
  • Knowledge of procedures for diagnosing faults, maintenance planned and reactive and repair of plant, equipment and buildings in relation to core trade skills.
  • Experience of carrying out rectification works to either make safe or repair in critical circumstances.
  • Experience of working in a multi-skilled role in technical estate management, supporting and prioritising multiple projects at any one time.
  • Working knowledge of current Health and Safety regulations and relevant codes of practice including CDM 2015.
  • Literacy and numeracy skills, good communication and interpersonal skills to communicate technical information.
