Job summary
This post is for a part time, permanent Orthotics Officer/Podiatry Assistant.
The post holder will be responsible for ensuring day to day running of the Podiatry and Surgical appliance office, as well as ensuring that admin tasks are met, and a quality service is delivered.
The role will also include:
- providing assistance to a supervising podiatrist in the delivery of complex podiatric treatment and admin support where necessary.
- act as clinical assistant in specialist clinical interventions e.g. assist with minor surgical procedures, wound care clinics, high risk foot clinics,
- assisting the podiatrist to carry out foot care and health promotion activities.
- undertaking patient assessments and observations in specialist clinics.
- liaise with departments, including Procurement and Finance, to ensure that all queries/requests are dealt with in a timely manner e.g. Orthotics officer role will involve having comprehensive knowledge of the Surgical Appliance All Wales contracts,
- to raise orders on Oracle, track bespoke products through the manufacturing process, ensure all Wales KPIs are met and products received, and invoices appropriate and paid.
- receiving and initially deal with telephone and written enquiries and complaints. Dealing with urgent matters appropriately, ensuring that Department procedures are followed in order to record/follow-up as necessary.
Main duties of the job
Supporting the administrative needs of the Podiatry and Orthotics Service including using the oracle procurement system and the administration of orthotic invoices.
To provide basic foot care to patients of the Podiatry Department under the direction of the Podiatrists and to support the delivery of Podiatry services in all its dimensions.
Responsibility for booking and rearranging of appointments for the Surgical Appliance/Orthotic department and the Podiatry service as required.
o Arrange patient appointments including Hospital transport if applicable.o Ensure all clinics are full to capacity.o Ensure that all new applications are processed appropriately.o Action necessary changes to the clinical programme when notified of sickness/absence of clinical staff. To notify patients of cancelled clinics and ensure that these patients are rescheduled as soon as possible

Qualifications and Knowledge
Essential
- Level II or equivalent demonstrable experience of administrative / office skills and knowledge
- Agored level 3 qualification to be undertaken or have equivalent experience
- Will be willing to undertake in house Podiatry assistants training programmes
- Working knowledge of Microsoft Office applications including spread sheets and data bases
Experience
Essential
- Experience working with clients on an individual basis
- Significant experience of working in a busy office
- Excellent word processing / spreadsheet skills
Desirable
- Experience in a health care setting
- Extensive experience in dealing with the general public particularly the elderly either on the telephone or face-to-face.
