Job Description

Your key responsibilities will include:Support the Immunisation publications manager to deliver the UKHSA National Immunisation Conference, and other event projects working to UKHSA guidelines, policies, procedures and protocolsManage the day to day running of the event project(s), leading it to deliver agreed outcomes within time, cost and quality constraints. Oversee the logistics of the conference(s); including venue, catering, audio-visual, ePoster and exhibitor managementCoordinate with external suppliers to ensure smooth delivery of all conference elementsLiaise with external event suppliers, negotiate cost effective terms and ensure our immunisation stand and stock are displayed and promoted in a timely and professional mannerProduce event project documentation and key branded materials consistent with other event projects within the programme.Build event project plans and apply appropriate delivery methodology, setting project controls, track and report against milestones, escalating project slippage accordingly. Develop effective relationships with key stakeholders, event providers, logistic teams, catering and academic and keynote speakers Identify and monitor event project risks and issues, developing mitigating actions and escalation process.Provide risk assessments and other project reports for events and support effective governance and decision making. Present to project and programme boards on the progress of the event project or to varied stakeholder groups.Liaise with external event software providers to explore new updates and innovations for elements such as event website building, registration, finance management and development of the conference app or new technologySet up effective change management processes, risk mitigation strategies and event failsafes and communicate them effectively to all stakeholders at pace to complete all the project deliverables.Support project assurance and audit, including development of post-conference reports, including a budget analysis, feedback from attendees, and key takeawaysWork within agreed budgets, negotiate with suppliers and assist in the maintenance of records of costs and revenuesPromote individual and team performance, seek appropriate guidance and coaching from the immunisation publications departmentContribute, where necessary, to immunisation publications related correspondence ensuring they are handled expeditiously.Any other duties commensurate with the grade as specified by the line manager and required by the directorate.The duties/responsibilities listed above describe the post as it is at present and is not intended to be exhaustive.
