Job summary

A fantastic opportunity has recently arisen within the Bristol Urological Institute as we are advertising as an admin assistant working 37.5 hours a week to join our busy Urology department within the Kidney team. This is an exciting opportunity to start your career working within the Bristol Urological Institute.

The Kidney team are focused on helping manage the administrative processes for patients who suffer with Urological issues in the Bristol and South West area and also RTT patients needing general urology care. The role will be to support all administration aspects of the patient pathway in line with 18 weeks referral to treatment guidelines and cancer pathways, therefore RTT and cancer knowledge would be extremely beneficial.

This role also involves working closely with the Consultant Team and Patient Pathway Coordinator, deputising for them as required.

The ideal candidate will need to be able to work in a calm, logical, organised and methodical way whilst being able to multi-task in a busy environment with complex patient pathways.

Main duties of the job

To accurately and efficiently process clinic letters once dictation has been received in a timely manner.

To cross-check the dictation with the clinic list, to ensure there is correspondence on each patient who had an appointment booked.

To look up and check data on the electronic patient record system, including confirmation of the patient/GP address etc.

To raise any queries relating to specific patient letters or the overall clinic with the appropriate Patient Pathway Co-ordinator.

To ensure any actions in dictated correspondence are passed for action to the appropriate personnel.

To enter patient level data onto a spreadsheet in order to monitor test results.

To carry out other clerical activities as required, such as photocopying, filing, sorting and distributing letters etc.

To answer queries relevant to role from administrative and clinical staff in a professional and courteous manner, referring on to a relevant staff member if necessary.

To work in partnership with the patient pathway co-ordinator and wider administrative team.

To provide cross-cover for colleagues during times of absence.

To ensure patient confidentiality is maintained at all times

To carry out other reasonable duties, appropriate to the grade, as agreed between the post holder and Specialty Manager

Job responsibilities

Knowledge

Working knowledge of relevant hospital systems

Full working knowledge of Microsoft Office, including Outlook, Email and Word

Knowledge of the Trusts Policies and Procedures

Understanding of patient confidentiality and data protection (inc HFEA if required)

Understanding of medical terminology

Training/Qualifications

Good keyboard and computer skills

Training will be provided for BNSSG Patient Access Policy and computerised patient administration system

Education to GCSE English Standard or equivalent

Experience

Experience of working in the NHS or similar organisation

Experience of working in a multi-disciplinary or busy team environment

Experience of working under pressure

Experience of working to protocols and procedures

Experience of talking to patients/service users

Good attention to detail and completion of tasks to deadlines

  • Minimum three GCSE/O'level qualifications, to include English Language (with Maths an advantage)
  • RSA or equivalent typing qualification (or demonstrated extensive experience and skill)
  • Experience of general clerical and administrative duties Must have knowledge of using Microsoft Word and Outlook
  • Exceptional typing skills, able to process large amounts quickly and accurately Must be able to demonstrate working in a methodical and organised way Competence in checking layout and content of typed documentation Demonstrate level of competence in preparing and sorting paperwork
  • Must be able to produce work of an accurate and high standard Able to effectively communicate with colleagues in a helpful and courteous manner - articulate, positive and professional in approach Provide an understanding of the importance of confidentiality and data protection in a hospital environment To have a very good time-keeping and attendance record

Desirable

  • Knowledge of medical terminology
