Job summary

We are seeking a dynamic and motivated individual to lead and manage the Acute Therapy Services Admin & Clerical team and functions. In this pivotal role, you will work closely with the Business Manager and B4 Personal Assistant to deliver high-quality admin and clerical support on behalf of the department, focusing on delivery, processes, coordination and improvement.

Acute Therapy Services, ATS, provides integrated Occupational Therapy and Physiotherapy to patients referred to Sheffield Teaching Hospital.

You will be part of the Combined Community & Acute Care Group, one of the largest care groups within Sheffield Teaching Hospitals NHS Foundation Trust. With three directorates spanning acute and community services across primary and secondary care, this care group is at the forefront of developing innovative, integrated ways of working.

The Directorate of Therapeutics and Palliative Care provides a wide range of clinical services across our acute sites and in the community, delivered by a multi-professional workforce.

Main duties of the job

Lead and manage the operational admin team, providing support, guidance and direction. Fostering a culture of excellence and continuous improvement, ensuring effective teamwork and operational success.

Provide operational admin management and oversight of designated Outpatient Clinics. Working with the Service Lead and Business Manager to optimise the clinic and patient waiting list.

To support the Business Manager and Clinical Service Managers (CSMs) with the delivery of central management support functions in relation to governance, operational performance and staff records.

Provide admin support to the Senior Leadership team and Lead Therapists.

Person Specification

Qualifications

Essential

  • GCSE level 4/C or above in English and Maths or equivalent experience/qualifications
  • Level 4 qualification e.g., diploma or NVQ level 4 qualification OR NVQ level 3 in business admin/customer care with additional evidence of extra training or qualifications undertaken in an administrative setting. IT Qualification e.g., RSA/European Computer Driving Licence or equivalent.
  • Leadership/Management Qualification or must be able to evidence experience of leading and managing a team.

Experience

Essential

  • Extensive administration experience working in the NHS or other large complex organisation.
  • Experience leading teams and providing direct line management to admin & clerical staff.
  • Experience of proactive implementation of service or process development/improvement
  • Experience of using a patient or customer administration system and records ie Lorenzo, SystmOne
  • Excellent operational working experience of Microsoft Office including word, excel & outlook

Desirable

  • Experience of managing outpatient clinics and waiting list.
  • Experience of regularly reviewing data / information, summarizing in reports/documents to support learning and understanding.
