Job summary

We have an exciting opportunity within a welcoming and supportive Physiotherapy Department at Royal Victoria Infirmary and Freeman Hospital for an experienced Administration Assistant.

Working under the supervision of the Administration Team Lead, you will provide high quality administrative and system support to ensure department services levels are always maintained and you will demonstrate outstanding customer care in all your daily activities.

Excellent communication and people skills are required to deliver this role effectively. At times you may be required to work independently, so attention to detail and the ability to follow department policies and procedures is essential.

As part of your role, you will be expected to demonstrate attributes such as the ability to work as part of a multi-disciplinary team and prioritising your workload to support the needs of the department. You must also be proficient in the use of Microsoft Office and have the ability to learn and retain system knowledge and processes.

Previous administration experience in a healthcare setting is preferred but is not essential as full training will be given.

Main duties of the job

To be responsible for the provision of comprehensive administrative support to the Physiotherapy clinical team.

To provide a high-quality reception service for patients and their carers who access Trust services.

To be responsible for checking patients in for their appointments, booking further appointments and answering high volume of telephone calls.

To contribute towards best practice and assist in developing working practices within the department to deliver an efficient and effective administration service.

To assist the Administration Team Leader in the production of statistical clinical information, departmental surveys and data monitoring.

To act as a main point of contact for the Physiotherapy Department, fielding and signposting enquiries as appropriate.

To be responsible for ensuring information is available and recorded accurately in patient records.

Job responsibilities

  • To contribute to the smooth delivery of rehabilitation services on the RVI/FH sites by ensuring appropriate administrative support and systems are implemented in Physiotherapy and Occupational Therapy.

KNOWLEDGE/ SKILLS

Essential

  • Advanced keyboard skills
  • Excellent organisational skills
  • Able to act on own initiative
  • Good oral and written communication skills
  • Able to follow written procedures
  • Able to use all office equipment e.g., photocopier/f/phone
  • Excellent customer care skills
  • Numerate and accurate
  • Excellent time keeping skills

Desirable

  • Understanding Medical Terminology
  • Willing to undertake necessary/additional training

EXPERIENCE

Essential

  • Previous administrative/secretarial environment
  • In-depth knowledge of Microsoft Office computer software packages (including databases / spreadsheets)

Desirable

  • eRecord
  • Previous experience in collating and presenting information in Excel report format and using databases
  • Previous NHS experience

QUALIFICATIONS

Essential

  • 3 GCSEs or equivalent inc Maths & English
  • RSA III or equivalent

Desirable

  • ECDL or equivalent
