Job summary

To provide administrative support to the Children & Young People's Respiratory and Nurse Specialist Teams to ensure that clinical staff are able to focus their time on direct patient care.

Support the Team in the production and development of Information Leaflets related to each subspecialty

Main duties of the job

  • Maintain and be the administrator of the various internal patient databases (eg allergy network) ensuring that all information is current and accurate.
  • Support the Nurse Specialists in the organisation of their clinics, liaising with the Patient Booking team to set up and populate the clinics, contacting patients to confirm appointments and ensuring that outcome sheets have been completed following each clinic. For some clinics, to be responsible for the direct booking/outcoming of patients onto Careflow, the hospital PAS system.
  • Undertake typing of all letters generated from nurse-led clinics.
  • Support the Respiratory Team in the organisation of the annual Palivizumab vaccination programme, appointment schedules, sending out letters and information to families and processing paperwork.
  • Act as a point of contact for the Nursing Team, taking messages and relaying them to the appropriate team member in the absence of a member of the team, in a timely manner.
  • Ensure the information required for National/Regional and Local Audit submissions is accurate and complete by ongoing assessment of progress towards the required goals throughout the year.
  • Assist with preparation for peer reviews ensuring that all relevant information is gathered and stored centrally ready for submission.
  • Support the Teams in the production and development of Patient Information Leaflets related to Respiratory Disease.

Job responsibilities

KEY DUTIES

Work closely with the Personal Medical Secretaries who support the Consultant Paediatricians with a special interest in respiratory disease.

Ensure the information required for National/Regional and Local Audit submissions is accurate and complete by ongoing assessment of progress towards the required goals throughout the year.

Assist with preparation for peer reviews ensuring that all relevant information is gathered and stored centrally ready for submission.

Support the Teams in the production and development of Patient Information Leaflets related to Respiratory Disease.

ADMINISTRATIVE RESPONSIBILITIES

Assisting in the preparation of the Annual Report and Quality Ward Round presentations and patient satisfaction surveys.

Be responsible for ordering equipment/consumables required by the Team.

Arrange school/nursery educational visits for the Team ensuring all educational resources are readily available and up to date.

Person Specification

Qualifications

Essential

  • Educated to GCSE standard/equivalent or higher
  • RSA/OCR typing/word processing Level II or equivalent
  • NVQ Level 3 in Business Administration or equivalent experience)

Knowledge & Experience

Essential

  • Strong IT skills with knowledge and experience of standard Microsoft Office packages
  • Experience of dealing with members of the public in situations which require a sympathetic and sensitive approach.
  • Experience of working in an office environment undertaking administration work

Desirable

  • Experience working in an NHS environment
  • Knowledge of internal IT systems
  • Understanding of corporate objectives of the Trust
  • Understanding of audit and survey to assist with the work of the Nurse Specialist Teams, including satisfaction surveys and audit updates.

Skills

Essential

  • Ability to organise own workload effectively and prioritise to meet deadlines
  • Ability to work independently showing initiative and predicting solutions and actions that support the teams
  • Ability to establish and maintain good working relationships
