Job summary

As Administration Support you will support the Administration & Secretarial Lead and the teams. As part of both teams, you will bring integrity, teamwork and focus, in addition to your skills to support our patients and the teams.

Role overview

Support the team lead and teams with general administration duties as follows

  • chase hospital correspondence & blood test results.
  • forward results to consultant secretaries, hospitals or outside agencies.
  • deal with patient summary requests.
  • answer phone calls, transfer calls onto the relevant team.
  • email non-electronic referrals.
  • file electronic letters into Docman.
  • open and sort incoming post.
  • scan documents and file as required.

NB. The post holder must understand that whilst this post may primarily be based at Priorslegh Medical Practice in Poynton, flexibility will be required to work from any of the bases within the Partnership, according to business need.

Data Quality

All employees are reminded about the importance of Data Quality and staff should make themselves aware of both departmental and corporate objectives for Data Quality

Data Quality forms part of the appraisal and objective setting process for staff responsible for data entry and data production; staff should ensure that they adhere to policies and procedures at all times. Failure to do so may result in disciplinary action being taken

Information Governance

Middlewood is registered under the Data Protection Act 2018. The post holder will comply with the Data Protection Act and the Access to Health Records Act and the practice policies regarding information governance at all times

You must not at any time use the personal data held by the practice for a purpose not described in the Register entry or disclose such data to a third party

If you are in any doubt regarding what you should and should not do in connection with the Data Protection Act, then you must contact the Caldicott Guardian, the Governance Lead or Medical Director

Ensure that information and data governance relating to peoples data is processed to all relevant standards such as the General Data Protection Regulations

Training

Essential

Experience

Essential

  • Working in medical / General Practice setting
  • Working in a busy environment where you have to prioritise tasks and workload
  • Ability to work independently and as part of a team
  • Understanding of the importance of maintaining confidentiality at all times
  • Able to demonstrate knowledge and understanding of the importance of information governance
  • Able to demonstrate using own initiative
  • Experience of IT systems, particularly with patient databases, problem solving
  • Knowledge of Microsoft Office systems
  • Knowledge of EMIS or other clinical software systems
  • Coding/Workflow experience

Desirable

  • Familiarity with QOF

Qualifications

Essential

  • GCSE level English and Maths or equivalent
