Job summary
Woodlands Medical Practice is a friendly, 5 partner GP practice in Sutton-in-Ashfield with approximately 11,500 patients. We obtained an Outstanding rating with the CQC and we are committed to providing patient-centred care in a happy, supportive and well-organised working environment.
We are looking to recruit a part time Administrator to join our team Working 25 - 30 hours per week over 5 days supporting both the administration team and secretary . All practice staff will be trained to cover reception and are expected to cover the extended access evenings with a finish time of 20:00pm on a rota basis. You may also be required to work an occasional Saturday 9:00- 17:00pm on a rolling rota.
The ideal candidates will be reliable with a flexible can do attitude to work. They will be highly motivated and able to work under pressure to deadlines and must be able to demonstrate exceptional customer service skills. The ability to prioritise workloads and communicate with all staff groups is required. Along with excellent keyboard skills and accurate data collection & entry, a keen eye for detail is essential. GP practice admin experience is essential and experience in using clinical SystmOne.
Main duties of the job
- To be experienced in GP practice Administration and secretarial work
- To be proficient in the use of clinical SystmOne
- To support the secretary in the delivery of accurate referral letters and other correspondence using the Electronic Referral Service (ERS)
- Knowledge of arranging urgent referrals and keep records of all patients referred under fast track (2 week wait) rule.
- File, summarise and store records as required
- Process requests for information i.e. SAR, insurance / solicitors letters and DVLA forms
- Private work invoicing
- Photocopy documentation as required
- Process repeat prescriptions received in person, and via SystmOne.
- Answer the telephone promptly and deal with enquiries in a helpful and courteous manner, Maintain confidentiality regarding patients and staff.
- Book, cancel, amend patients' appointments using SystmOne.
- Be flexible to cover Reception when required to do so
- Monitor and promote the use of the Friends and Family Test
- Any other duty required of you to support the wider practice
- Maintaing patient confidentilaity at all times

Person Specification
Experience
Essential
- Working knowledge of SystmOne
- Experience of secretarial work including E referrals and choose and book.
- Experience in the use Microsoft office
- Experience of working in a GP Practice administration role
Desirable
- Experience and knowledge in IGPR, SAR requests
- Experience of Summarising
Qualifications
Essential
- GCSE grade A to C In English and Maths or equivalent
Desirable
- NVQ level 2 Business Administration
