Are you looking for an exciting administration role within a new initiative in HCT?

We are looking for enthusiastic and adaptable individuals who have a high attention to detail.

The roles demand excellent self-management and prioritisation skills to offer a high-quality admin service. You will work in a collaborative way to ensure a smooth and efficient service. You will be responsible for specific tasks and will have a positive influence on those around you.

These posts are in the admin support hub for the Neurodiversity Pathway for children and young people across Herts who would benefit from a pre-assessment for attention deficit hyperactivity disorder (ADHD) and/or an autism assessment. These roles will provide admin support to the admin and clinical teams across partner organisations.

The post holders will work closely with the multi-disciplinary team and other agencies who provide assessment and support related to ADHD and Autism in a variety of community settings.

Main duties of the job

  • Provide an efficient, comprehensive, professional, and confidential administrative and secretarial service using organisational ability in terms of administrative systems and demonstrating initiative and motivation.
  • Use own initiative, working without direct supervision, to fulfil the role's aims.
  • Prioritise and manage own workload and take personal responsibility for a number of specific tasks, providing cross cover for tasks/responsibilities for any service should the need arise.
  • Be the first point of contact for inquiries and communications proactively taking action where appropriate or hand over to the appropriate member of the team for required response.
  • Plan staff rotas and cover; arrange meetings; manage diaries as required.
  • Participate in team meetings, including typing and distributing minutes and prepare presentations as required.
  • Demonstrate administrative and secretarial duties to new starters and less experienced staff.

Job responsibilities

These fixed-term posts are based in Welwyn Garden City. There might also be an opportunity for a proportion of your time to be home working based on Trust guidance (to be discussed and agreed with your line manager based on service needs).

In addition to the basic salary, this post will attract a High Cost Area Supplement of 5% of basic salary subject to a minimum and a maximum payment per annum, pro rata where applicable.

For this role you will need to have a full valid driving licence and access to a car to use regularly for business purposes is essential (unless you have a disability as defined by the Equality Act 2010).

Qualifications

Essential

  • oNVQ Level 3 in Business and Administration or equivalent level of knowledge
  • oPrevious knowledge of secretarial or administrative procedures and systems, such as answering queries, progress chasing, task related problem solving, acquired through experience and training.
  • oGood command of spoken and written English

Skills

Essential

  • oWell-developed written and verbal communication skills to enable you to communicate clearly by telephone, email and face to face with a range of people.
  • oAdvanced keyboard and IT skills required.
  • oExperience of formal minute taking, formatting and distributing.
  • oGood planning and organisational skills to be able to prioritise workload effectively.

Essential

  • oPossess resilience to deal with any distressing and emotional demands of the role.
  • oAbility to work under pressure and to tight deadlines.
  • oEligible to live and work in the UK.
