Job summary

The main purpose of this role is to provide comprehensive secretarial support to the anaesthetic department.

Main duties of the job

Annual Leave Co-Ordination for 100+ medical staff Approving/declining annual leave depending on departmental cover required countywide

Study leave monitoring and associated paperwork

Liaising with relevant departments impacted by annual leave requests to give enough notice for cover by another staff member

Ensuring Annual leave is compliant with annual leave policies and local departmental guidelines Maintain up to date annual leave records.

Ensure Annual leave has no impact on on-call cover countywide

Mandatory Training compliance/monitoring.

Strict monitoring of DSA to comply with national requirements.

Support College Tutors with Trainee EDT allocations and any relevant courses required to attend.

Supporting the Division with Job planning To enable DSM/DSO to support other areas within the division with the job planning process. This will then support other directorates within the division to match the demand and job plan capacity work that Anaesthetics have achieved. This will ultimately increase the division achievement of the job planning compliance standard.

Carry out any other administrative duty as required by the Directorates of Anaesthesia.

Person Specification

Experience

Essential

  • Previous experience in dealing with clinical colleagues. Previous experience of fast paced turnaround within the workplace.

Desirable

  • Previous administrative/secretarial experience within the NHS.

Qualifications

Essential

  • GCSE grade C or above including English/Maths. Ability to use and understand spreadsheets.

Desirable

  • Previous use of CLW Rota and Allocate systems. Previous rota co-ordination/waiting list experience.

Personal Qualities

Essential

  • Friendly and courteous manner. Awareness of patient confidentiality. Logical and methodical approach to work. Flexible and adaptable. Able to act under own initiative. Able to work as a team. Able to keep calm with a large workload.

Skills/ Knowledge

Essential

  • High level of computer literacy. Ability to prioritise workload effectively. Good verbal and written communication skills. Good organisational skills.

Desirable

  • Knowledge of PAS/Bluespier systems.
