Job summary

  • To work as part of a team to provide a comprehensive administrative support to the Service.
  • All duties will be carried out within the Practices Information Governance, recording, and data sharing procedures and guidance.
  • Take detailed information from patients to enable correct appointments offered as needed by the clinical Triage team
  • Be a central point of call for all technical Anima queries for patients and staff
  • Support social media campaigns for the practices
  • Support patient bookings within the Anima system

Full understanding how to use Anima, processing day to day enquiries

Main duties of the job

Anima triage, must be processed for each patient requiring support with a medical query or request the post holder will be responsible for providing support with adhoc queries relating to requests in the system

Use and populate the electronic record system for clinical records (Systm1) or other service systems with accurate information

Gather information from systems/records for statistical collation and audit

Liaising by telephone or in person with colleagues and other healthcare professionals in a positive, friendly, calm and sympathetic manner, using good judgement to identify requirements in order to pass on information correctly or take appropriate action.

Manage appointment bookings, updating electronic record systems and sending appointment letters via email.

Process incoming and outgoing mail, telephone or written messages, distributing appropriately and in a timely manner, taking responsibility for signposting or dealing with queries regarding issues arising.

Read coding to be added surrounding new diagnosis showing on hospital discharge paperwork, tasks to Doctors if medication updates have been made to ensure these are current to the patient repeats.

Job responsibilities

To deliver primary care,

Southend Coastal surgeries provide Primary Care across two locations in Shoebury and Thorpe Bay.

To provide a professional administrative service to Southend Coastal Surgeries, supporting the clinical and administrative staff at all times.

Providing a reception service on a rota basis when required.

Log into the digital phone system, headsets to be warn.

Answering all incoming telephone calls, checking contact details are correct and verified in TPP Systm1

For minor illnesses offer Pharmacy First in place of GP appointment, details regarding the pharmacies capabilities in the local area are shared with the staff.

Completing Anima Triage for those without a digital platform, before proceeding check that the contact information within Anima matches TPP Sytm1. Take as much information as possible to assist the clinical team triaging.

Anima admin to be monitored and processed throughout the day, this will be supported by the care navigators and clinical team, patient updated information may be required, update incorrect contact info to make sure both digital systems communicate.

If medication requests come through Anima, these are assigned to the appropriate branch for the prescription team to process.

Letter requests processed appropriately.

Dealing with enquiries, taking messages for staff or providing information to callers as appropriate.

Emails to be processed through the day

Tasks within TPP Sytm1 to be actioned / assigned to correct groups

Hospital letters received digitally to be actioned, correctly displayed on patient notes depending upon the departments sending, tasks to Doctors if changes made or further requirements needed

Workflow to be monitored / actioned daily

Monitor clinical rotas, check appointments booked are with the correct and appropriate clinician.

May be required to chaperone a clinician on occasions, training to be had before doing so.

Welcome all new staff / trainee nurses / Doctors, encourage to be part of the team, offer help where needed whilst learning the processes of the surgeries

Seek help from Management when you have difficult patients, offer a private room to talk, take the element of concern away from the patient waiting area, instilling confidence surrounding privacy with the patient to be heard and helped where possible.

Be one of 2 Anima system champions and represent the practices at public facing events and training session.

Provide training support where necessary either over the phone or in person to patients

Support social media marketing of the practices where required across all practice initiatives

  • GCSE grade A to C in English and Math
