Job summary

We are looking for a highly motivated and enthusiastic person, with recent administrative/secretarial experience, to join our Paediatric Secretarial Team at York Hospital to provide support to the medical secretaries and their consultant teams.

Main duties of the job

Excellent administration/secretarial skills and audio-typing skills are vital, as well as a good understanding of customer relations since regular contact is required to deal with queries from patients, consultants, and GPs.

You will be responsible for typing clinical and administrative letters, answering telephone enquiries, general administration tasks, as well as covering the Medical Secretaries during periods of absence.

The successful candidate will be required to work well under pressure, with the ability to prioritise the demands of a busy office and manage their time and workload effectively.

You will also be required to work unsupervised and communicate with the Paediatric Consultants on a regular basis. A good, accurate typing speed is essential, and a knowledge of medical terminology would be an advantage. You will work closely with clinical and non-clinical staff with a patient centric approach. Previous/current NHS experience would be an advantage.

Education

Essential

  • oGCSE English Language, Grade C or above (or equivalent)
  • oWord processing skills - OCR II (or equivalent experience)
  • oTyping skills OCR II (or equivalent experience)

Desirable

  • oQualification or appropriate training in Customer Service
  • oECDL

Experience

Essential

  • oKnowledge of office applications and procedures
  • oMinimum 6 months secretarial/administrative experience
  • oExperience of working in a customer focused environment
  • oExperience of using a variety of IT applications, including Microsoft Office

Desirable

  • oKnowledge of medical terminology

  • oEffective communication skills, verbal and written
  • oProficient audio typist with the ability to accurately transcribe complex audio tapes and type complicated medical information whilst subject to frequent interruption
  • oAbility to cope with distressing and emotional situations with patients, relatives and staff
  • oHigh level of interpersonal skills, including sensitivity, diplomacy and empathy
  • oExcellent organisational skills

  • oAbility to exercise judgement and resolve problems
