An exciting opportunity has arisen within the Division of Infrastructure at The Mid Yorkshire Teaching NHS Trust for a Trainee Estates CAFM & CAD Systems Manager .
This is a trainee position with a clear pathway to a Band 6 management role within a progressive, supportive and forward thinking team. This role would ideally suit individuals with an interest in estates management, facilities management, or building information management. Along with strong IT Skills and an aptitude for data analysis.
Qualifications:
Educated to degree level or equivalent relevant experience/qualification
Experience:
Knowledge and experience utilising AutoCAD and CAFM/Asset Management systems.
Experience of uploading CAD drawings into a CAFM IPR Asset Management module
Experience of analysing and producing building information using a range of techniques including statistical and analytical tools.
Training and Development:
Complete a 12 to 24 month training program, including on the job, in-house and off-site training (dependant on experience of successful candidate).
Acquire relevant qualifications and accreditations
Gain practical workplace experience to support management development.
Salary:
During the training period, salary will be paid at a percentage of Agenda for Change Band 6. Upon successful completion of the training, the salary will be paid at the entry step point of Agenda for Change Band 6.
Main duties of the job
Responsibilities of the role upon completion of training:
CAFM and CAD System Management:
Become the expert on the Trust's Computer-Aided Facilities Management (CAFM) and Computer-Aided Design (CAD) systems.
Manage, analyse, and interpret data within these systems.
Oversee day-to-day operations of the Asset Management Systems.
Information Management:
Ensure timely production of:
Estates drawing records.
Operation and Maintenance (O&M) manuals.
Asbestos and Compliance records.
Six Facet information
Provide advice and guidance on data and reports.
System Development:
Lead and manage projects for the design and development of future CAFM and Estates Information Management systems.
Ensure systems are fit for purpose, compliant, and efficiently managed.
Staff Management Responsibilities :
Line Management:
Directly manage staff assigned to the role, handling day-to-day supervision.
Address HR related issues such as grievances/conduct, sickness absence, and annual leave, adhering to Trust policies.
Performance Management:
Conduct annual performance reviews and appraisals for team members.
Maintain accurate and comprehensive records of performance evaluations.
Training and Coordination:
Coordinate the work of junior staff, providing guidance and support.
Plan and deliver in-house training on estates CAFM systems to end-users, ensuring effective utilisation of the systems.

Job responsibilities
Responsible for providing and receiving highly complex information and producing bespoke reports from the estates CAFMs systems, which may contain highly sensitive information relating to estates building and engineering systems data across all estates buildings.
To produce and present complex statistical estates building information to large groups including internal and external stakeholders and act as the point of contact and liaison in relation to all drawing records and asset information requests.
Responsible for producing reports and statistical information relating to the Trusts Land, Property and Space Utilisation, to support the submission of the annual NHS PAM (Premises Assurance Model), ERIC (Estates Return Information Collection) and VOA (Valuation Office Agency) returns (Typically, information would relate to costs per M2 and/or income per M2 split down by directorate).
Responsible for analysing and confirming the accuracy of building records, As built drawings, and building engineering systems information, and identifying and resolving anomalies within the data before it is uploaded into the Estates CAFM systems.
To produce, manipulate and update CAD drawings, and where anomalies are identified, perform on site checks/surveys to clarify the accuracy of the data.
Responsible for the uploading of CAD drawings and O&M manuals into the CAFM IPR module, using file transferring protocols over the Trusts FTP NHS Fiber service and processing these accordingly into a digital format when required.
Maintain complex auditable trails for all drawings and related building information records, their amendment status and final disposal.
Responsible for the planning, facilitation and management of an annual work programme to undertake site surveys of the Trust land and property portfolio for verification of Trust areas.
Plan and facilitate meetings with internal and external stakeholders to ensure Six Facet information is kept relevant and up to date in the CAFM Appraisal Module.
To attend relevant internal and external meetings relating to estates asset information, providing specialist knowledge on the data within the CAFM systems whilst taking the lead on progressing any actions arising from the meetings.
To undertake specialist systems training relevant to the role and take responsibility for introducing new processes for improving the recording and management of estates information within the relevant systems.
To be the Primary Administrator of the CAFM system, having responsibility for data security and access control to the estates building information, ensuring the system is not misused by others, and access is not given to unauthorised persons.
To undertake continuous research of new products and CAFM systems, to support service development and take the lead on future projects relating to the development/application of the estates CAFM system ensuring new systems/applications are fit for purpose, and fully compliant with the needs and requirements of the estates service.
Implements estates departmental policies and strategies relating to estates CAFM systems, Building Information Management (BIM) and Government Soft Landings (GSL).
To work with the estates capital team to ensure building and construction information is provided in the correct format in-line with the GSL to enable the seamless handover and uploading of information into the CAFM system.
Work with external consultants to update and upload externally produced Asbestos surveys into the CAFM IPR Module and highlight areas surveyed for Asbestos within the estates CAD building drawings.
Responsible for maintaining and updating the CAFM Compliance module by ensuring compliance records from internal and external stakeholders are in date, accurate and monitored regularly.
