Job summary

The Sheffield Diabetic Eye Screening Service has an exciting opportunity for a dedicated and reliable individual to join their growing service. This position is pivotal in providing telephonic and administrative support to a city-wide service.

The successful candidate will be at the forefront of patient contact, using excellent communication and telephone skills to book appointments and deal with general enquiries for the service as well as providing data entry and general administrative support to maintain a quality experience for service users.

Main duties of the job

o Deal with telephone and face-to-face enquires and appointment bookings in a professional manner in accordance with local and national procedures.o Process referrals into the eye screening service and from the service to the hospital Ophthalmology department.o Liaise with colleagues to ensure full utilisation of all available screening and outpatient appointments.o Provide administrative support to the Engagement Lead to ensure projects and targeted clinics run smoothly and efficiently, including the contacting of patients, and booking of appointments.o Utilise the OptoMize, Lorenzo and Medisoft software packages to check the patients care pathway.o Carry out other administrative tasks commensurate with the grade.

The Sheffield Diabetic Eye Screening Service serves a population of more than 37500 people with diabetes. Diabetic eye screening is a key part of diabetes care. People with Diabetes are at risk of damage from Diabetic Retinopathy, a condition that can lead to sight loss if it is not treated.

The Service provides photographic eye screening and examination of the images to detect sight threatening retinopathy. The Service also works directly with the Ophthalmology Department at Sheffield Teaching Hospitals to ensure that patients requiring further tests and/or treatment receive seamless and timely care.

Qualifications

Essential

  • GCSE at Grade C in English and Maths (or equivalent qualifications) or equivalent experience

Desirable

  • NVQ Level II in Business Administration / Customer Service / IT

Experience

Essential

  • Experience of working within an office environment
  • Experience of working in a public facing role.

Desirable

  • Relevant experience within the NHS

Skills

Essential

  • Understanding of data protection issues and the ability to maintain confidentiality
  • Excellent communication skills, with ability to deal with staff at all levels.
  • Displays use of initiative with effective organisational skill
  • Ability to prioritise and work to strict/conflicting deadlines

Further Training

Essential

  • Knowledge of / experience of using information and/or customer service systems.
  • Working knowledge of Microsoft Office packages including Outlook, Excel and Word.

  • Previous experience of Lorenzo / Infoflex / SystmOne (area specific software)
  • Previous experience 59R Software
