We are looking to appoint a receptionist/administrator to join our busy GP practice. You will be the first point of contact for patients, contractors and visitors to the surgery. As well as covering Reception you will also be carrying out general administration tasks related to the work generated within a GP surgery.

Providing general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person, electronically or via the telephone.

Main duties of the job

Job Responsibilities:

Administration

  • To have a thorough knowledge of all Reception procedures.
  • To work in accordance of written protocols
  • To have general knowledge of Practice policies.

Reception

  • Receiving patients and consulting with members of the practice team
  • Handing completed repeat prescriptions to patient and checking names and address.

Appointments

  • Process appointment requests for on the day and future appointments from patients by telephone and in person.
  • Deal with home visit requests

Computer

  • Process patients change of address computer data and medical records.

Telephone

  • Have working knowledge of telephone/out of hours service, during and after hours.

Other Tasks

  • Ensure building security when opening the surgery or closing at the end of the day
  • Any other tasks allocated by managers that are appropriate to the role of a clinical support officer.

  • Handling repeat prescriptions for patients and checking names and addresses

Appointments

  • Process appointment requests for today and future appointments from patients by telephone and in person
  • Organise for daily home visits

Telephone

  • Have a working knowledge of telephone/out of hours service, during and after hours

Other tasks

  • Ensure building security - have experience of end of day checks including doors, windows and alarms
  • Any other tasks allocated by managers that are appropriate to the role of receptionist/administrator

Personal/Professional Development:

The post-holder will participate in any training programme implemented by the practice as part of this employment, such training to include:

  • Participation in an annual individual performance review, including taking responsibility for maintaining a record of own personal and/or professional development
  • Taking responsibility for own development, learning and performance and demonstrating skills and activities to others who are undertaking similar work.

Overview of your organisation

Mansion House Surgery is a 7,500 patient training practice based in the centre of Whitehaven. The building is a Georgian built town house which has been structurally modified to provide clinical space and facilities. Whitehaven is an historic seaside town with pockets of deprivation which has experienced regeneration developments over the last few years.

  • This individual will be a reliable team player. One who contributes to the team, has a positive attitude and the flexibility to work within the practice opening hours. In the course of seeking treatment, patients entrust us with, or allow us to gather, sensitive information in relation to their health and other matters. They do so in confidence and have the right to expect that staff will respect their privacy and act appropriately. In the performance of the duties outlined in this Job Description, the post-holder may have access to confidential information relating to patients and their carers, practice staff and other healthcare workers. They may also have access to information relating to the practice as a business organisation. All such information from any source is to be regarded as strictly confidential. Information relating to patients, carers, colleagues, other healthcare workers or the business of the practice may only be divulged to authorised persons in accordance with the practice policies and procedures relating to confidentiality and the protection of personal and sensitive data.
