You'll also be instrumental in maintaining IT systems, developing digital platforms, and contributing to the implementation of a Virtual Reality (VR) education programme.

Main duties of the job

As the Events and Training Administrator, you will play a vital role in ensuring the smooth delivery of high-quality learning and development programmes. Your responsibilities will include coordinating training events and workshops, managing participant registrations, and organising logistics such as venues, equipment, and materials.

You will maintain accurate documentation and records, oversee participant evaluations, and support the development of innovative digital platforms. Additionally, you will process invoices and manage financial queries related to events. Communication with internal and external stakeholders will also be key, ensuring the effective flow of information.

Job responsibilities

Main duties and responsibilities

  • Administrative Support for Learning & Development Programmes
  • Coordinate and monitor events and training programmes, ensuring timely delivery and high-quality execution.
  • Arrange meetings and appointments, prepare agendas, and distribute minutes as required.
  • Organise logistics for training sessions, workshops, and events, including booking venues, catering, and equipment.
  • Manage participant registration, communication, and materials preparation using tools like Eventbrite.
  • Assist with developing and maintaining digital platforms, including websites and virtual education resources.

Documentation and Record Management

  • Maintain accurate records of participant details, attendance, and evaluation data.
  • Ensure timely distribution of certificates and maintain updated records for all sessions.

Analytical Skills

  • Analyse feedback from training events and compile reports to present outcomes.
  • Support learning needs surveys and contribute to reports summarising findings.

Communication

  • Prepare and distribute communications to internal and external stakeholders.
  • Represent the Training hub in meetings, presenting updates or findings as required.

Finance

  • Process invoices, follow up on payments, and resolve queries.
  • Act as a finance order requester and raise invoices for services or events.

Person Specification

Skills and Abilities

Essential

  • Ability to produce accurate documentation and communications.
  • Strong organisational skills with attention to detail.
  • Ability to prioritise competing commitments effectively.

Other requirements

Essential

  • Flexible approach to work and a commitment to professional development.

Experience

Essential

  • At least 12 months general office administration experience.
  • Experience with Learning Management Systems and tools like Eventbrite.
  • Practical experience in web content creation or platform maintenance.

Knowledge

Essential

  • Familiarity with basic web development tools or CMS platforms (e.g., WordPress, HTML, CSS).

Qualifications

Essential

  • Proficiency in Microsoft office , including databases.
  • Bachelors degree in a relevant field.
