Are you an organised, friendly, and proactive individual looking for a rewarding role in healthcare? We are seeking a bright and enthusiastic GP Receptionist to join our team, working 20 hours per week.
About the Role
As a GP Receptionist, you will play a vital role in ensuring the smooth running of our practice. You will be the first point of contact for patients, responsible for handling calls, booking appointments, processing prescriptions, and supporting clinical staff with administrative tasks. Your role is essential in creating a welcoming and efficient environment for patients and visitors.
Working Hours
Monday mornings: 0745 - 1245
Friday afternoons: 1345 - 1845
Additional hours available Tuesday to Thursday
What We're Looking For
Strong communication and interpersonal skills
Ability to multitask and work efficiently under pressure
Experience in a receptionist or administrative role (preferably in healthcare, but not essential)
A proactive and professional approach with great attention to detail
IT literacy and experience with administrative systems

Main duties of the job
Key Responsibilities
Manage incoming and outgoing phone calls, ensuring efficient communication within the practice.
Welcome patients and visitors, assist with queries, and book them into the appropriate clinics.
Process prescription requests and update patient medication records.
Advise patients on non-NHS service charges, accept payments, and issue receipts.
Process clinical mail, including sorting, distributing, and responding where necessary.
Respond to queries from doctors, nurses, and community pharmacists.
Maintain confidentiality while providing routine patient information as per practice policy.
Perform administrative duties such as scanning, coding, mailing, word processing, and photocopying.

Job responsibilities
Core Responsibilities
As a GP Receptionist, your key responsibilities will include:
Mail and Record Management
Process incoming and outgoing mail.
File and store records securely and appropriately.
Photocopy and scan documentation as needed.
Patient Administration
Process changes to patient registrations, including deductions and new registrations.
Input and update patient healthcare records.
Book appointments and assist with scheduling.
Communication and Reception Duties
Answer incoming phone calls, transfer calls, and handle patient queries efficiently.
Welcome patients and visitors, directing requests to the appropriate staff members.
General Support and Housekeeping
Maintain a clean, tidy, and organised working area.
Support clinical staff with administrative tasks as required.
Provide cover for staff absences.
Assist with opening and closing procedures according to the duty rota.
Compliance and Professional Development
Participate in audits as directed by the audit lead.
Adhere to practice and NHS Trust policies on risk management, health and safety, and data security.
Stay informed on clinical effectiveness, evidence-based practices, and relevant terminology.
Engage in professional development and training opportunities.
Ensure compliance with data protection procedures, including system backups.
