An exciting opportunity has arisen within our Imaging team for an individual with excellent communication skills to join our dynamic team. The role requires a proactive and dynamic individual able to quickly adapt to different ways of working . The post holder will be a core member of the team, assisting with the smooth running of the patient journey. The post will be expected to work alongside the existing Pathway Co-ordinators to provide a central point of contact for all enquiries and advice with respect to referrals, appointment times and Consultant Radiologist's timetables.

Main duties of the job

You will act as the main point of contact for all medical staff and GPs on behalf of the Consultant Radiologists ensuring that all queries are answered with skill, sensitivity and in a courteous and professional manner.

You will have a sound knowledge of RIS (Radiology Information System) to ensure efficient use of appointments, report monitoring and worklists. You will also be expected to use various software packages such as PACS (Picture Archiving and Communications System), IEP (Image Exchange Portal), Careflow and NHS mail.

A good understanding of Trust and Government Policies around waiting list management and Trust CARE values are also essential.

You will be educated to Grade 9-4 standard to include English Language (GCSE grade C or above, or equivalent) together with NVQ Level 3 in Customer Care (or working towards).

Job responsibilities

  • To act as the main point of contact for all medical staff and GPs on behalf of the Consultant Radiologists ensuring that all queries are answered with skill, sensitivity and in a courteous and professional manner.
  • To answer telephone calls, and dealing with enquiries appropriate, ensuring that urgent enquiries/correspondence are actioned timely and in an efficient and professional manner, when required.
  • Accurately informing clinicians and other staff members of outcomes and information to influence the effective service delivery for all patients including waiting list queries.
  • Ensure that the In/Out Board is updated daily to give an accurate record of all consultants availability at all times of the day.
  • Ensuring that urgent notifications are actioned daily.
  • To have a sound knowledge of the Radiology Information System to ensure efficient and accurate use of the appointments diary, stats module, report information list and reporting worklists.
  • To identify and retrieve from EMRAD PACS, CRIS or IEP systems all requests for images and/or reports and send electronically or burn on to discs within the agree timescales, ensuring the correct images have been downloaded.
  • Where images are not available digitally, retrieve films from filing areas despatch within agree timescales.
  • To liaise with the medico legal department within the Patient Records Library, always ensuring compliance with current medico-legal legislation.
  • Using the National Portal system, rectify incorrect and duplicate patient records by identifying correct patient and cross checking with Medway, CRIS, and GP practice.
  • To assist with testing and implementation of upgrades to the existing system, when required.
  • To be familiar with all local booking rules and to ensure accurate patient records are maintained within the Radiology Information System.
  • Monitor the Report Information List daily and working within set protocols, decide which images are to be sent off site for reporting and send accordingly.
  • When required, check the deferred request lists, and contact the relevant person to ensure patients are joined on the appropriate systems.
  • To maintain all necessary documentation and retain necessary records and standard operating procedures for the safe and effective use of the Radiology Information system.
  • To select and code images for sending off site for reporting, in line with department protocols.
  • Keep an accurate record of all images sent off site with approximate times of when reports will be available.
  • Be in regular contact with all outsourcing companies to ascertain reporting capacity for all imaging examinations to be sent off site.
  • Highlight any concerns about outsourcing availability or any other issues to Pathway and Performance Manager or Service Lead.
  • Daily monitor the turnaround times for images sent off site for reporting and chase up when required.
  • Insource to the Consultant Radiologists as required, monitor appropriately & ensure accurate records are kept.
  • Monitor the Radiologists worklist throughout the day to ensure the timely reporting of the images for discussion at MDT meetings, follow-up appointments (OP, GP & ED) and for the appropriate treatment of in-patients.
  • Be responsible for all emails coming into the Department via the generic email addresses and dealing with all enquiries in an efficient and professional manner ensuring that all the information/enquiries are passed on to the most appropriate person.
  • Working to strict Trust and Government policies and waiting list management, ensure all cancer targets are seen within the maximum 2 week wait period and all routine cases are seen with a maximum 6 week wait period.
  • Provide training and on-going support to staff within the Department and across the Trust in the effective use of the Radiology Information System.
  • Promote and maintain good working relationships within the team and other Departments to ensure the efficient smooth running of the service.
  • To carry out general clerical duties within the department if required in agreement with the Service Lead and Pathway & Performance Manager.
  • Report faults to appropriate bodies and monitor outcome.
  • To liaise with the clerical team in order to maintain adequate stationery supplies.
  • Be supportive of research and audit undertaken by other members of the multidisciplinary team.
