Job summary

The Corporate Nursing Team is looking for a highly organised person with excellent interpersonal skills to provide secretarial support across Corporate Services, including Infection Prevention & Control, Tissue Viability, and Research Teams. This role will also include supporting the Deputy Chief Nurse with day-to-day secretarial duties as required.

Main duties of the job

o To provide a comprehensive, professional and effective secretarial support to the Corporate Nursing Teams, adopting a high degree of confidentiality as may be required within the post.

o To provide a secretarial service to the Deputy Chief Nurse as required.

o To undertake various types of administrative tasks for the Corporate Nursing Teams

o To work independently using initiative and applying a high degree of confidentiality to all work. To undertake non-routine duties without direct supervision.

Job responsibilities

To provide secretarial and administrative support to the Deputy Chief Nurse, and Corporate Nursing Teams, including Infection Prevention and Control, and Tissue Viability.

To provide front of house support by greeting staff and visitors in a courteous and professional manner.

To be proficient in office procedures and Microsoft office applications.

To have proficient internet skills to access, research and retrieve data for the team.

Use administrative knowledge and experience to complete non - routine tasks using own initiative.

To update skills as necessary and undertake mandatory training courses as required.

To be experienced with a range of communication methods including telephone and email and use developed communication skills where there may be a barrier to understanding.

To receive, filter, monitor and action incoming communications of all types, take accurate messages, action or pass on issues as appropriate and deal with telephone enquiries in a professional and diplomatic manner.

To ensure all messages are relayed as quickly as possible to the Team and prioritise incoming messages and communicate outcomes. To carry out any other duties as requested by the Team to enable the smooth running of the department.

Handling queries and ensuring that relevant information is imparted, and confidentiality is maintained.

Work with the Corporate Nursing Team assisting with projects or tasks in relation to national campaigns and initiatives such as hand hygiene day, IPC roadshows, Tissue Viability study days.

To manage and organise own time and workload efficiently in order to assist the Team to meet ongoing deadlines.

To plan, organise and update diaries as and when necessary and to be aware of and able to make adjustments to plans at short notice.

To prepare, print, and distribute documents such as reports and meeting minutes.

To prepare and draft agendas and completion of action logs for local meetings, transcribe and distribute to the agreed timescale.

To report and ensure equipment and environment faults are dealt with by relevant persons.

Update and maintain electronic filing system.

To assist the in the monitoring of all IPC Audits and peer to peer plan.

To add data received from the microbiology laboratory on a daily basis, into in-house systems.

To input into the IPC Quality Management system

Upload information to the intranet and assist with the development and maintenance of a digital platform for communication

Arranging Post Infection Review meetings and filing of all information and collection tools.

Person Specification

Qualifications

Essential

  • Education to GCSE level or equivalent as a minimum (inc. Maths and English)

Desirable

  • NVQ Level 2 in admin
  • Familiarity with NHS systems

Experience

  • Previous experience of working in an office environment
