Job summary
An exciting opportunity has arisen to join Maternity as Service Manager on a fixed term 12 month contract.
You will be responsible for managing a large team of administrative staff; implementing change and improvements to the department. Attending and leading on various projects and supporting the higher management team.
You will work with a wider range of professionals including clinician and non-clinical team members.
You must have excellent interpersonal skills, be organised, efficient, resilient & able to manage multiple priorities at the same time.
Please note this post can be worked as a secondment, and there is the possibility for extensions to the contract length.
Main duties of the job
In close liaison with the Patient Access Team Leader & Ward Clerk Coordinator, lead the development and integration of administrative procedures, processes and systems across Maternity services.
Ensure that the administrative systems support national and local organisational targets and policies.
Maintain e-Roster for all admin staff across Maternity. Work with Patient Access Team Leader & Ward Clerk Coordinator to ensure staff rotas are up to date and gaps are filled.
Work within the available resources and/or identify additional resource implications and assist the Directorate Manager to develop appropriate service development plans as necessary.
Ensure all administrative staff and other stakeholders receive accurate and up to date information about projects and their development.
Ensure that A&C staff in Maternity adhere to the Quality Assurance policies and procedures undertaking audits whenever necessary.
Represent A&C staff at Data Quality Group.
Undertake any further projects as requested by the Directorate Manager.

Job responsibilities
Be an active member of the Directorate Management Team, attending meetings and participate in the departments decision making process.
- Manage outpatient activity
- Provide line management and support to the Patient Access Team Leader & Ward Clerk Coordinator ensuring procedures and office practices are effectively applied by all A&C staff across the areas.
- Through regular one to one and group meetings with the Patient Access Team Leader & Ward Clerk Coordinator facilitate and promote a one team approach to staff management and issues.
- Plan administrative workforce requirements in liaison with the Directorate Manager to ensure appropriate and equitable levels of administrative support in all areas while fostering a team approach to issues.
- Manage the recruitment and induction process for administrative staff, raising Trac requests, establishment change forms, preparing job descriptions, personal specifications, writing advertisements, short listing and chairing the interview panel. Ensure that Trust policy is always followed during the recruitment process.
- Ensure the Trusts Performance and Management policy is adhered to at all times when any A&C staff are being performance managed.
- Arrange temporary staff as required with NHS Professionals ensuring Trust procedures and guidelines are followed at all times.
- Be familiar with the Trust Human Resources policies and conditions of service, including sickness absence, staff training and Performance and Conduct. Ensure that processes are followed and workforce information is appropriately disseminated.
- Ensure that all administrative staff have an annual appraisal and a personal development plan in accordance with Trust guidelines. Take personal responsibility for the appraisal and continuing personal development of the Team Leader..
- Act as mediator and counsellor for all A&C staff to help resolve issues and problems
- Responsibility for managing the administrative budget for Maternity Services, ensuring financial balance and the effective use of resources, ensuring the Trusts policies and guidelines are adhered to at all times.
