We are seeking a detail-oriented and organised Medical Administrator to join our team. In this role, you will be responsible for ensuring the smooth operation of our medical office by managing administrative tasks, supporting healthcare professionals, and providing excellent service to patients. The ideal candidate will possess strong administrative skills and a keen attention to detail, contributing to the overall efficiency of our healthcare services.

Main duties of the job

Core responsibilities:

Read coding data on EMIS Web clinical system into the patient record, updating & maintain records

Identifying & processing relevant clinical information documented via Workflow in patient, coding appropriately, prioritising and completing any detailed actions

File, store, request & record the movements of patient records as required

Scanning documentation and attaching scanned documents to patients healthcare records

Input data onto the patients records

Answer incoming provider & patients phone calls.

Liaise with patients regarding queries or follow up appointments

Support all clinical staff with administrative tasks

Summarising patient paper notes

Identify the complex or higher risk area that require input or knowledge from the clinical team, including Safeguarding & Mental Health issues

Maintain a clean, tidy, effective working area at all times

Secretarial duties using Lexacom & resolving Provider & patients referral queries

Processing Company, Provider & Patients Private Work requests, correctly invoicing

Identify & report significant events

Action & record Anima queries

Action, handle, process & record Provider & patient emails

Run, process & complete Surgery Reporting

New Pond Row Surgery is a forward-thinking NHS GP practice with 8,900 registered patients, working collaboratively within an efficient and enthusiastic Primary Care Network (PCN) alongside two other local surgeries, caring for 29,700 patients in our area.

Job responsibilities

Job Summary

To be responsible for the read coding of relevant information into the patients electronic health care records on the EMIS clinical system, adhering to the practice coding policy. In addition, the post-holder will assist with the distribution of information, messages and enquiries for the clinical team, liaise with multidisciplinary team members and external agencies such as secondary care and community service providers, providing administrative support as required, in line with the needs of the practice.

Primary Responsibilities

The following are the core responsibilities of the Medical Administrator. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:

  • Accurately read coding data on EMIS Web clinical system into the patient record, updating & maintain records
  • Identifying & processing relevant clinical information documented via Workflow in patient correspondence, coding appropriately, prioritising and completing any detailed actions
  • Accurately file, store, request & record the movements of patient records as required
  • Photocopy documentation as required
  • Scanning of patient related documentation and attaching scanned documents to patients healthcare records
  • Input data accurately onto the patients healthcare records as necessary
  • Answer incoming provider & patientsphone calls, transferring calls or dealing with the callers request appropriately
  • Liaise with patients regarding queries or follow up appointments
  • Support all clinical staff with general administrative tasks as requested
  • Summarising patient paper notes accurately onto the clinical system
  • Identify the complex or higher risk area that require input or knowledge from the clinical team, including Safeguarding & Mental Health issues

Secondary Responsibilities

In addition to the primary responsibilities, the Medical Administrator may be requested to:

  • Review and update the practice coding policy as required (in collaboration with the Administration Manager)
  • Partake in audit as directed by the audit lead
  • Partake in staff meetings & take minutes when required
  • Undertake agreed safety checks, investigate incidents, and identify new or changes in those safety checks
  • Work closely with the practice administrators and clinical team to ensure a safe and high quality service is provided to the practice
