We are looking for a dedicated and organised Medical Secretary to join the team at Sutton Road Surgery. In this key role, you will support our healthcare staff by managing patient appointments, handling medical records, processing correspondence, and ensuring that all referrals are completed accurately and efficiently. You will be responsible for coordinating patient referrals to specialists, ensuring all necessary documentation is in place, and following up as needed. Main duties of the job

We are EMIS system practice

  1. E-referrals , 2WW referrals , Private Letters , Medical letters/reports for solicitors
  2. Ensure that patients without appointments but who need 'urgent consultations are booked into appropriate slots and referred to a GP where necessary.
  3. Receive and accurately record requests for home visits, assessing urgency in accordance with the Practices protocols. Print off home visit summary sheets.
  4. Respond and/or redirect all patient and visitor requests accordingly.
  5. Ensure correspondence, reports, results etc. are filed electronically in correct patient record.
  6. Answering incoming telephone calls, ensuring calls are documented and redirected accordingly.
  7. Undertake administration tasks
  8. Ensure up-to-date maintenance of both computerised and manual filing systems (i.e. patient notes).
  9. Check emails on a daily basis. Also regularly check fax machine for incoming messages. Send faxes as required.
  10. Amalgamation of new patient records.

We are looking for an organised and professional Medical Secretary to join our team. You will play a key role in supporting our GPs by managing appointments, processing patient referrals, and handling medical records. Your work will ensure smooth operations within the practice, helping to deliver excellent care to our patients.

Key Responsibilities:
  • Referral Management: Complete and track patient referrals to specialists, ensuring all necessary documentation is provided and follow-ups are done in a timely manner.
  • Appointments: Organise and manage patient appointments, ensuring smooth scheduling.
  • Medical Records: Maintain accurate and confidential patient records.
  • Communication: Answer patient queries, manage correspondence, and liaise with healthcare providers.
Requirements:
  • Experience as a Medical Secretary or in a similar administrative role.
  • Knowledge of the NHS referral process.
  • Strong organisational skills and attention to detail.
  • Proficient in practice management software EMIS and Choose & Book.
