Job summary

An exciting opportunity has arisen within our two busy and friendly GP practices in the Havant and Bedhampton area for an experienced, flexible and enthusiastic Medical Secretary to support our existing Practice team.

It is a permanent position, salary dependent on experience, up to 30 hours per week.

You will be responsible for undertaking a wide range of secretarial and administrative duties and the provision of administrative support to the Practice teams.

Duties can include, but are not limited to, the processing of information, liaising with multidisciplinary team members and external agencies such as secondary care and community service providers in accordance with current policies. Processing patient referrals using the electronic referral service (ERS).

Main duties of the job

The following are the core responsibilities of the Medical Secretary/Administrator.

There may be on occasion, a requirement to carry out other tasks; this will depend on factors such as workload and staffing levels:

Write accurate letters and reports using audio and copy typing for all members of the medical team.

Liaise with external agencies such as hospitals and community services, and ensure referrals are processed efficiently.

Maintain an accurate referrals database.

Input data into the patients healthcare records as necessary.

Process referrals using the electronic referral system (ERS).

Process advice and guidance requests.

Answer incoming phone calls. Transfer calls or deal with the callers requests appropriately.

Carry out system searches and audits.

Maintain a clean, tidy, effective working area at all times.

Expected hours: up to 30 per week

Schedule: Monday, Tuesday, Thursday, Friday (negotiable)

Education: GCSE or equivalent (preferred)

Experience: Medical Receptionist: 1 year (preferred)

We are a large Practice over two sites with 17,000 patients. We have a diverse clinical team of salaried GPs, ANP Prescribers, Practice Nurses and HCAs. We also have a Physiotherapist, Health and Wellbeing Coaches, Care Coordinator, Mental Health Practitioner and Social Prescribers. We are part of the Havant and Waterlooville Primary care Network (PCN).

Job responsibilities

To carry out any administrative tasks required by the Doctors/Practice Manager

To assist our patients with any information they may require

To ensure that our patients receive a good service when referral to secondary care is required, using the ERS system if possible

Reception cover when required

To instinctively make things happen despite the restrictions placed upon us

To ensure that all referral letters are typed and forwarded to the relevant hospital within a reasonable length of time i.e. 5 days for routine and 1 day for urgent

Dealing with Patient & Doctor queries

Oversee the opening of incoming mail and distribute to relevant parties

Entering data onto the computer for referrals

Assisting to set up systems when new services are introduced i.e. fast track cancer referrals, choose & book, workflow & batch scanning

Observe strict confidentiality at all times

Compliance with any reasonable request from the Doctors/Practice Manager

Prior Approval/IFR administration

Typing any requests made by the Doctors/Practice Manager/Practice Nurses/Receptionist/attached staff

To liaise with all secondary care agencies as required

To maintain an accurate address book /information file

To chase up appointments etc as necessary

Qualifications

Essential

  • Educated to GCSE level
  • Audio typing

Experience

Essential

  • Experience working in an NHS organisation in a similar role
  • Understanding of medical terminology

Desirable

  • EMIS experience preferred however training will be given
