Job summary
Blackheath Standard PMS are seeking a dedicated and detail-oriented Medical Secretary to join our practice.The position is for 15 hours per week, over three days, (Mon, Weds, Fri) This can vary , depending on the needs of the practice during sickness and annual leave. Flexibility is essential.Theideal candidate will be responsible for undertaking a wide range of secretarial and administrative duties and the provision of administrative support to the multidisciplinary team. Duties can include but are not limited to, the processing of information (electronic and hard copy) in a timely manner, liaising with multidisciplinary team members and external agencies such as secondary care and community service providers in accordance with current policies, including the use of the electronic referral service (ERS). This position requires excellent organisational skills, a strong understanding of office procedures, and the ability to communicate effectively with both patients and healthcare professionals.
Main duties of the job
Duties will include:Typing letters, reports and associated documentation as required (have an understanding the Lexicom system)Liaising with external agencies such as hospitals and community services, ensuring referrals are processed efficiently,Manage tasks to secretary inbox in an effective manner. Maintain an accurate referrals database. Action all incoming emails to the Blackheath Standard inbox. Scanning of patient related documentation and attaching scanned documents to patients healthcare records. Input data into the patients healthcare records as necessary. Process referrals using the electronic referral system (ERS). Process requests for information i.e. SAR, insurance / solicitors letters and DVLA forms. Answer incoming patient queries relating to referralsManage all administrative queries as necessary. Maintain a clean, tidy, effective working area at all times. Support all clinical staff with general administrative tasks as requested andrecord the minutes of meetings

We are committed to providing a high standard of care under the NHS and are part of the Blackheath and Charlton Primary Care Network to offer access to a wide range of healthcare professionals.The clinical team comprises of 2 GP Partners, 3 Salaried GP's, Practice Nurses and HCA's. Clinical Pharmacist, Physiotherapists, Mental Health Workers and Social Prescribers the team is supported by a admin team comprising of Medical Secretaries,Receptionists and Care Navigators.Our current CQC rating is "Good"
Job responsibilities

Answer incoming patient queries relating to referrals. Manage all administrative queries as necessary. Maintain a clean, tidy, effective working area at all times. Support all clinical staff with general administrative tasks as requested.
In addition, the Medical Secretary may be requested to partake in audits as directed by the Practice Manager and record the minutes of meetings.

Essential
- Minimum 2 years experience of working as a medical secretary in a GP setting Good standard of General Education Appropriate IT / Secretarial experience Familiar with Lexacom or similar dictation software Knowledge/experience of EMIS clinical system Knowledge/experience using Ardens, Docman AccuRx DXS
Desirable
- Previous work experience in General Practice or similar setting.
Qualifications
Essential
- Excellent IT skills with experience of working with Microsoft Outlook and Microsoft Word
- EMIS web AccuRx and DOCMAN literate
Desirable
- GCSE grade A to C in English and Maths or equivalent
