Job summary

Do you have a passion for Child Health Services? An opportunity has arisen to join our friendly administrative team, which will involve the provision of secretarial and administrative support to Consultants within Salisbury Hospital Child Health Outpatients Service. We are looking for an individual to support our clinical team and work within the administrative team supporting our Epilepsy Service and secretarial/ administrative tasks.

Main duties of the job

Epilepsy Service

To provide a comprehensive secretarial and administrative service to the Epilepsy Service and their teams within Child Health Outpatients.

To produce clinic letters and documents using Electronic Patient Records, collect and collate investigations.

To prepare epilepsy clinics, printing and updating care plans accordingly to when clinics are held

To respond efficiently and effectively to post, telephone and email queries from patients, parents/guardians and other health care professionals.

To work independently, prioritising and managing own workload quickly and accurately, responding to the needs of the department.

To offer secretarial support to the admin team when other staff members are away.

Administration Tasks

Monthly meeting pack preparation - working alongside Paediatric Matron and Clinical Lead

Attend monthly meetings and taking minutes/disseminate to appropriate teams

Prepare junior doctor induction packs - working alongside the Consultant Paediatrician

Provide secretarial cover within the admin team during busy periods of annual leave

Emailing monthly rotas to the Child Health Team

Providing a list of Child Protection Reports and sending to the relevant teams

Organise and set up adhoc clinics for our registrar team

Person Specification

Experience/grades

Essential

  • Educated to GCSE grade C or above in English and Maths, or equivalent qualification
  • Clerical/office administration experience preferably within a health care environment
  • Excellent customer care skills to communicate with patients and relatives, in person, and by telephone managing barriers of communication
  • Comprehensive IT skills with knowledge of Microsoft packages, including Outlook diary management, accurate word processing skills
  • Excellent communication skills, including managing difficult conversations
  • Able to use own initiative within parameters set by Line Manager, and delegate and make decisions as appropriate
  • Ability to work as part of a team in a multi-disciplinary environment

Desirable

  • Able to demonstrate a flexible approach to working and willingness to support other teams when required
  • Previous NHS experience
  • RSA grade II or equivalent touch typing skills
