Band 4 Medical Secretary:

We are seeking an enthusiastic, motivated and experienced Medical Secretary to work within our Acute Inpatient Services.

Main duties of the job

This role is to support the medical staff across the Acute Inpatient Service in order to provide seamless customer service to both internal and external customers. The role will work flexibly across the Portfolio, while holding a primary assignment.

Job responsibilities

1. Providing and receiving routine information which may sometimes require tact or persuasive skills to overcome barriers to understanding. This may involve providing and receiving of sensitive or complex information, providing advice, instruction or training where the subject matter is straightforward. In particular this will involve working predominantly for the Consultant Psychiatrist and non-medical prescribers and will involve the following responsibilities:

Responding to appropriate requests for information

The use of Big Hand system and skills in auditory typing

Acting on correspondence responding to, or referring to the appropriate person

Providing routine advice on areas of knowledge/expertise, in a manner relevant to the audience and topic area (ie patients, carers, complexity)

Liaison with partner services and organisations

Preparation/completion of routine documents, including letters, reports, presentations and forms e.g. purchase order requisitions, photocopying, filing

Handling telephone queries

Assisting patients/clients/relatives with non-clinical advice

Teaching and supporting new Admin team members and providing aspects of the team induction and training to new starters regarding the building and admin processes.

Organise and prepare for clinics ensuring checking list and updating of relevant statistics related to medical caseloads

Electronic patient record (EPR) management

2. The role will require capacity to make decisions, which may require consideration of a range of options, such as:

Judgements on how to deal with enquiries, patients/carers/external contact

Prioritising work, resolving conflicting diary appointments and schedules

Diary management to support the Consultant Psychiatrist.

Qualifications

Essential

  • AMSPAR or equivalent

Experience

Essential

  • Substantial experience of a range of relevant procedures and software programmes and the ability to provide examples of own application of these.
