Job summary

An opportunity has arisen within the Colorectal Department at Royal Derby Hospital for a Pathway Support Medical Secretary to join the Colorectal secretarial team.

In this role the post holder will provide support to the Colorectal Medical Secretaries with administrative support to the Colorectal Consultants and wider clinical team.

Applicants must be confident communicator with the ability to liaise with staff at all levels. You will need to have proven organisational skills, good knowledge of IT systems, and be able to confidentially deal with queries from patients and staff. You will need to be an enthusiastic, motivated team player, with excellent problem-solving skills.

Previous administration is essential, ideally in the NHS however full training on IT systems and processes will be provided.

Main duties of the job

  • Editing and dispatch of clinical correspondence related to NHS medical patients within agreed timescales and quality standard
  • Be a point of contact for patients and medical staff ensuring queries are answered with skill, sensitivity and in a courteous and professional manner.
  • Excellent organisational and communication skills
  • Ability to work independently and as part of a team
  • Knowledge of Word, Excel, T-Pro, Ormis, Cito and e-mail systems
  • Diary management
  • Telephone queries
  • Working to strict Trust and Government policies and Waiting list management and 18 weeks guideline
  • Supporting Medical Secretaries with booking patients for surgery
  • Support Medical Secretaries with general administration

Person Specification

Knowledge, training & experience

Essential

  • A good standard of English to O level/GCSE (A-C grade) or equivalent
  • Evidence of working independently and as part of a team.
  • Evidence of working in an administrative /patient care environment

Desirable

  • Experience in an NHS Administration Role
  • Understanding of 18 RTT process

Skills & Ability

Essential

  • Evidence of using IT packages to include Microsoft Word and Excel Ability to work to deadlines

Desirable

  • Knowledge of NHS IT Systems such as Ormis, Lorenzo
