Job summary
We are looking for a dedicated and well organised Administrator to join our back office admin team at The Burbage Surgery. In this key role you will support our healthcare staff by managing patient referrals accurately and efficiently, handling medical records, processing correspondence, and supporting the administration of our ENT clinics. You will be responsible for coordinating patient referrals to specialists, ensuring all necessary documentation is in place, and following up if needed. If you are detail-orientated, have excellent communication skills and are passionate about delivering exceptional administrative support in a healthcare setting, we'd love to hear from you. Main duties of the job
We are a Systmone practice.
- E-referrals, 2WW Referrals, Private referrals, Medical Letters and reports for solicitors.
- Ensure correspondence, reports, results etc are filed electronically in correct patient record.
- Answering telephone queries from patients and outside organisations.
- Undertake administration tasks,
- Check practice emails on a rota basis.

About us
We are a 4 Partner GP practice situated in a purpose-built premises in Burbage providing care to approximately 12000 patients. We also operate a part time branch surgery in the village of Wolvey.
We have a dedicated team of 4 GP Partners, 3 Salaried doctors, 1 Advanced Nurse Practitioner, 2 Practice Nurses, 1 HCA, 1 Phlebotomist and 2 Clinical Pharmacists. We are also a training practice with GP registrars, Medical Students and Student Nurses.
All clinical services are supported by a strong administration and reception team.
Job responsibilities
We are looking for an organised and professional Administrator to join our team. You will play a key role in supporting our GPs by processing patient referrals, and handling medical records. Your work will ensure smooth operations within the practice, helping to deliver excellent care to our patients.
Key Responsibilities:
- Referral Management:Complete and track patient referrals to specialists, ensuring all necessary documentation is provided and follow-ups are done in a timely manner.
- Medical Records:Maintain accurate and confidential patient records.
- Communication:Answer patient queries, manage correspondence, and liaise with healthcare providers.
- ENT Administration : Provide admin support for dedicated ENT clinics held at both sites.
Requirements :
- Experience as a Medical Secretary or in a similar Administration Role
- Knowledge of NHS Referral Process
- Strong organisational skills and attention to detail.
- Proficient in Systmone and Choose & Book
