We are seeking an experienced and dynamic Practice Manager to lead and develop our team, ensuring efficient operations, financial sustainability, and the highest levels of patient care. This is an exciting opportunity for a highly motivated individual with a strong background in healthcare management, leadership, and strategic planning.

Main duties of the job

ThePractice Managerwill play a pivotal role in the overall management, strategic planning, and future development of the practice. Working closely with theGP Partners, clinical teams, and administrative staff, you will ensure the smooth day-to-day operation of the practice while driving improvements in patient care, efficiency, and staff wellbeing.

This is ahighly rewarding and varied role, where you will oversee all aspects ofHR, finance, compliance, patient services, IT systems, and practice development.

Downsfield Medical Centre is a well-established, patient-focused GP surgery committed to delivering exceptional primary care services to our local community. We provide a high standard of patient care through a multi-disciplinary team, which includes GPs, practice nurses, pharmacists, healthcare assistants, care coordinators, and administrative staff. Our practice serves approximately 4500 patients and is continuously evolving to meet the challenges of modern general practice.

Job responsibilities

Key Responsibilities

Operational & Strategic Management:

  • Oversee the day-to-day operations of the practice, ensuring smooth workflow and optimal patient care.
  • Lead and coordinate all practice functions, including administration, finance, HR, and IT.
  • Develop, implement, and monitor policies and procedures to ensure efficiency and compliance.
  • Plan and lead change management initiatives to improve practice services.
  • Ensure the practice meetsQuality and Outcomes Framework (QOF) targetsand contractual obligations.
  • Manage and support the implementation of the practice development plan (PDP).
  • Act as a key liaison with thePrimary Care Network (PCN), PCN Manager, and ARRS staff.
  • Represent the practice at external meetings and engage with key stakeholders, including NHS England, Integrated Care Boards (ICBs), and local authorities.

HR & Workforce Management:

  • Provide functional management for all clinical and administrative staff.
  • Oversee therecruitment, onboarding, and retention of staff, ensuring robust induction processes.
  • Develop and maintainsuccession planningfor key roles within the practice.
  • Implement and manage an effectiveappraisal system, performance management, and staff training programmes.
  • Ensure compliance withHR legislation, managing employee relations including disciplinary and grievance procedures.
  • Ensure all staff have appropriate training, including statutory and mandatory requirements.

Financial Management:

  • Oversee the practice'sfinancial management, including budgets, accounting systems, payroll, and cash flow forecasting.
  • Manage partner drawings, PAYE, and NHS pensions.
  • Ensure the practice operatescost-effectivelywhile maximising income opportunities.
  • Maintain financial oversight, includingforecasting and reporting to the Senior GP.
  • Work with the accountant to ensure accurate end-of-year financial reporting.
  • Ensure the practice has adequateinsurance coverage.

Compliance & Risk Management:

  • EnsureCQC compliance, preparing for inspections and implementing required changes.
  • Manage health and safety protocols, includingrisk assessments and staff training.
  • Ensure adherence toInformation Governance (IG) and IT security protocols.
  • Maintain an effectivebusiness resilience plan (BRP)to ensure continuity of services.
  • Oversee data protection compliance (GDPR) and patient confidentiality policies.

Patient Services & Engagement:

  • Maintain and enhancepatient experienceby ensuring high-quality service delivery.
  • Oversee patient feedback systems, including handling and resolving complaints in line with NHS guidance.
  • ManagePatient Participation Groups (PPGs)to encourage patient engagement.
  • Ensure the practice promotes and increases the use ofonline patient services.
  • Manage internal and external communication strategies, includingpractice newsletters and website updates.

IT & Facilities Management:

  • Oversee the practicesIT infrastructure, ensuring system security and efficiency.
  • Manage IT contracts and relationships with system providers.
  • Ensure the smooth running of practicepremises, including maintenance, cleaning, and security.
  • Overseeprocurement of medical and office supplies, ensuring value for money.
  • Coordinate and manage the practice diary, ensuring efficient scheduling of meetings and clinics.

The following are the core responsibilities of this role. There may be, on occasion, a requirement to carry out other tasks. This will be dependent upon factors such as workload and staffing levels.

Qualifications

Essential

  • AMSPAR or equivalent management qualification.

Experience

Essential

  • Experience in a management role, preferably within healthcare or general practice.
  • Strong leadership skills with experience in managing a multidisciplinary teams.
  • Proven ability in financial management, including payroll, budgeting, and forecasting.
  • Strong knowledge of HR management, employment law, and workforce planning.
  • Experience in handling NHS contracts, QOF, and primary care targets.
  • Excellent communication, negotiation, and problem-solving skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong IT literacy and experience in managing practice IT systems.
  • Knowledge of CQC compliance, Information Governance, and health & safety legislation.
  • Knowledge of clinical systems (SystmOne).

Desirable

  • Leadership or strategic management qualification.
