Job summary
We are seeking a highly organised and detail-oriented Prescription Clerk to join our primary care team. The successful candidate will be responsible for processing repeat prescription requests, liaising with healthcare professionals, and ensuring efficient medication management for patients. This role is vital in supporting the smooth operation of the practice and enhancing patient care.
Additionally, the role includes Data Clerk responsibilities, ensuring accurate and efficient management of patient data, supporting data reporting, and assisting with administrative tasks related to healthcare records.
Main duties of the job
Prescription Management:

Process repeat prescription requests efficiently and accurately.

Liaise with GPs, pharmacies, and patients regarding medication queries.

Ensure prescriptions comply with practice and NHS policies.

Maintain accurate electronic and paper records of prescription requests.
Data Administration:

Update and maintain patient records, ensuring data accuracy.

Job responsibilities
Key Responsibilities
Prescription Clerk Responsibilities:
Process and manage repeat prescription requests in line with practice policies and procedures.
To process all repeat items of medication sent in by patient using the various protocols in place. This includes email requests, online requests, paper requests
To ensure that all requests are processed within a 72-hour time frame
Liaise with GPs, pharmacists, and other healthcare professionals regarding medication queries and prescription authorisations.
Ensure accurate data entry and updating of patient records on our clinical systems (SystmOne,).
Provide support and advice to patients regarding prescription processes, resolving queries efficiently and professionally
.
Monitor and manage prescription-related correspondence, including emails and phone calls.
Identify and escalate any prescription-related issues to the appropriate healthcare professional.
Ensure compliance with relevant policies, procedures, and NHS regulations regarding medication and prescriptions.
Assist in medication audits and reviews to improve service efficiency and patient safety.
To actively encourage patients to reconcile medications to facilitate monthly collections
To ensure that any queries on medication are highlighted to the relevant clinician
To identify patients requiring a medication review and sent invites to book appointment online
Data Clerk Responsibilities:
Maintain and update patient records accurately and confidentially.
Assist with QoF , IIF etc achievement.
Assist in data collection, reporting, and analysis to support the practices operational needs.
Ensure all healthcare data is processed in compliance with NHS guidelines and data protection regulations.
Support healthcare professionals with retrieving and inputting patient information.
Identify and correct data discrepancies, ensuring high data quality.
Assist in the preparation of reports for audits, reviews, and practice meetings.
Work collaboratively with the administrative team to improve data management processes.

Experience
Essential
- Previous experience in a similar administrative role, preferably within a healthcare setting.
- Knowledge of prescription and medication management processes in primary care.
- Excellent communication and interpersonal skills.
- Strong attention to detail and ability to maintain accurate records.
- Ability to handle confidential information with discretion.
- Organised, proactive, and able to work effectively in a busy environment.
- Strong IT and data entry skills with experience in data management
Desirable
- Experience working in a GP practice or pharmacy setting.
- Knowledge of NHS guidelines and regulations related to prescriptions and data handling.
- Understanding of medical terminology.
- Proficiency in using our clinical system (SystmOne)
- Experience of processing repeat prescriptions
Qualifications

- Education to GCSE level 3 or equivalent
