Job summary

The Reception Manager is responsible for leading the reception team to provide an efficient, patient-focused, and professional front-line service. This role involves overseeing the day-to-day operations of the reception area, ensuring smooth workflow, managing staff, and supporting the wider practice team in delivering high-quality care to patients.

Main duties of the job

Main Duties of the Reception Manager:

  • Supervise and manage the reception team, ensuring efficient service.
  • Ensure staff are using care navigation and booking patients into appropriate clinics
  • Add rotas for all clinical staff onto EMIS, make appropriate changes to clinics as and when required.
  • Book Annual leave for staff members and handle all ARRS staff annual leave request (remove clinics - add annual leave on EMIS)
  • Manage reception area organization and maintain patient confidentiality.
  • Train, mentor, and schedule staff shifts.
  • Ensure compliance with practice policies on safeguarding, prescribing, complaints, SEAs etc
  • Oversee administrative tasks like patient registration, tasks, clinic booking etc.
  • Communicate with clinical staff and management to ensure smooth operations of Reception.
  • Ensure adherence to health, safety, and confidentiality standards.
  • Issue Chronic Disease and other recall list to staff for clinic booking
  • Send out SMS messages as and when required via ACCRUX/IPLATO
  • Ensure all DOCMAN letters are filed, coded and workflow correctly

About us

Little Lever Health Centre 2 is a team of Single GP, 1 HCA , PN, GPA, 5 Reception Staff and 2 Practice Managers. MSK Practitioner, Mental Health Practitioner, Paramedic and PCN GP form part of our ARRS team.

Job responsibilities

Overseeing the administration and support operations of the practice, ensuring staff achieve their primary responsibilities

Ensure staff are using care navigation, booking patients into appropriate clinics

and utilising all clinical staff

Line managing all administrative staff, supporting, providing guidance and direction

Compiling administration staff rotas and adding clinics on in EMIS

Assist Practice Managers in reviewing and updating all administrative and reception policies and procedures as required

Ensure compliance with practice policies on safeguarding, prescribing, complaints, SEAs etc

Assist with Recall Management for QOF, BQC , GM Standards and any other areas under guidance of Practice Managers

Assist in developing, implementing and embedding efficient office processes and procedures to comply with legislation and CQC

Coordinating the provision of administrative and reception staff, ensuring sufficient cover is provided for periods of annual leave and other staff absences

Updating the appointment system to reflect leave and other approved absences for all clinical and ARRS staff

Providing initial guidance and advice to patients who wish to complain

Managing all deliveries to the practice, ensuring adherence to the cold chain policy as necessary

Acting as building fire marshal, ensuring evacuation lists are current and that the visitors log is used appropriately

Ensure the Practice has sufficient pathology supplies for their clinical rooms

Person Specification

Experience

Essential

  • Experience in supervising or managing staff.
  • Experience in a customer-facing role in General Practice using EMIS
  • Strong communication and interpersonal skills.
  • Ability to work under pressure and multitask.
  • Excellent organisational and time-management skills.
  • Strong IT proficiency, with the ability to train and support others.
  • Ability to work flexibly to meet practice needs.
  • Commitment to patient confidentiality and data protection.

Desirable

  • Formal management training or qualification.
