Firth Park Surgery has an exciting opportunity for a Receptionist / Admin person working 24hrs per week Monday 08.30 - 18.30 Tuesday13.30 - 18.30 and Friday 08.30-18.30 to join our friendly GP Practice. Firth Park Surgery is a training Practice and has over 10,000 patients. We have a good supportive clinical team including 5 GP Partners, 2 Salaried GP 3 Practice Nurses, 2 Healthcare Assistants, & 1 ANP. Our admin support team include a Practice Manager, Deputy Practice Manager, Operations Manager an IT Lead & Secretarial Admin / Reception team.
Applicants would ideally have experience of working in a GP Practice in a Reception/ Admin environment, but is not essential as full training will be given. You will need to have an excellent telephone manner, good computer skills, be able to work independently & as part of a team, and be flexible in covering for colleagues during times of sickness and leave.

- Processing and coding documents both online and paper post

Main duties of the job

The role holder will be expected to provide general Reception and admin duties which may include, but is not limited to:
- Reception / admin duties - answering calls, dealing with the patients face to face. Other duties will include handling of repeat prescriptions to patients checking names & DOB etc.
- Receiving and inputting read codes on incoming mail & hospital correspondence, ensuring these are entered correctly into patient records. Assign to relevant clinical/administration staff group.
- Filing & auditing scanned documents to ensure they are eligible & filed correctly.
- General admin involving patient records
- Registering New patients
- Completing electronic tasks in a timely manner, this may involve dealing with patients via telephone or sending letters/texts.

Provide general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone.
Primary Responsibilities
Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way
Undertake a variety of administrative duties to assist in the smooth running of the Practice including the provision of secretarial and clerical support to clinical staff and other members of the Practice team
Facilitate effective communication between patients, members of the Primary Health Care team, Secondary Care and other associated Healthcare agencies
Duties and Responsibilities:
The duties and responsibilities to be undertaken by members of the Reception/ admin team may include any or all of the items in the following list. Duties may be varied from time to time under the direction of the Head receptionist or Operations Manager, dependent on current and evolving practice workload and staffing levels:
- Processing personal and telephone requests for appointments, visits and telephone consultations and ensuring callers are directed to the appropriate healthcare professional.
- Processing repeat prescriptions in accordance with practice guidelines
- Maintaining and monitoring the Practice appointments system.
- Explain practice arrangements and formal requirements to new patients and those seeking temporary cover and ensure procedures are completed.
- Advise patients of relevant charges for private services (non General Medical Services), accept payment and issue receipts for same.
- Accurately record amendments to patients address, marital status etc. in their electronic record.
- Give test results out to patients as authorised by the Doctor.
- Taking messages and passing on information via tasks, notifications or via telephone
- Scanning documents & electronic post into patients records.
- Arranging transport for patients where appropriate.
- Attend regular Practice meetings and take part in all training considered to be essential to the role.
- Computer data entry/data allocation and collation; processing and recording information in accordance with Practice procedures.
- Checking emails and processing Registrations & prescriptions via Firth Park Surgery website.
- Training on Patient Care Navigation with a view to using.
- Chaperoning for clinical staff.
- Providing clerical assistance as required, including word/data processing, filing, photocopying and scanning and filing of hospital / medical letters into the patients computerised record.
- Filing and retrieving paperwork.
- Dealing with confidential waste and clinical waste where appropriate.
- Keeping the reception area, notice-boards and leaflet dispensers tidy and free from obstructions and clutter.
- Deal with Health Visitor requests.
- Undertake any other additional duties appropriate to the post as requested by the Partners or the Practice Manager.
