Bewdley Medical Centre is looking for a Receptionist to join our dynamic team for 37 hours per week (with part-time hours considered).

Main duties of the job

  • Acting as the first point of contact for patients and visitors, ensuring a professional and friendly welcome.
  • Managing appointment bookings, cancellations, and patient registrations.
  • Handling phone calls and directing enquiries to the right team members.
  • Supporting clinicians by handling medical reports and administration.
  • Maintaining a well-organized reception area.
  • Opening and closing the premises securely.

Job responsibilities

Join our dynamic team and play a vital role in ensuring the smooth operation of our practice. This position is ideal for someone who enjoys problem-solving, working in a team, and delivering excellent service in a fast-paced healthcare environment.

  • Professionally and politely greet all patients and visitors, both in person and over the phone.

  • Handle incoming calls from patients and healthcare professionals, directing them as needed or taking messages.

  • Manage administrative queries and requests, acting as a key link between patients and clinicians.

  • Schedule, cancel, and rearrange appointments efficiently using the clinical system.

  • Provide essential support to clinicians, ensuring smooth daily operations.

  • Process medical report requests and handle related fees.

  • Maintain a clean and organised reception and waiting area.

  • Take responsibility for opening and closing the premises, including setting and deactivating the alarm.

Person Specification

Skills

Essential

  • Strong interpersonal and communication skills, with the ability to engage confidently with patients, colleagues, and healthcare professionals.
  • Proven ability to handle patient inquiries with discretion, empathy, and professionalism including in high-pressure situations.
  • A professional and confident telephone manner, capable of managing high call volumes effectively.

Desirable

  • In-depth understanding of patient confidentiality and GDPR regulations, with experience applying them in a professional setting.
  • Demonstrated ability to work efficiently within a team while also working independently when required.

Qualifications

Essential

  • Educated to GCSE level (or equivalent), including strong grades in Maths and English.
  • Demonstrable competency in written and spoken English, with the ability to draft professional correspondence.

Desirable

  • Degree in a relevant field OR equivalent professional experience in an administrative or healthcare setting.
  • IT-related qualification or certification

Experience

Essential

  • Experience working with IT systems, including Microsoft Office (Word, Excel, Outlook) and data entry software.
  • Ability to work in a highly organized, methodical, and detail-oriented manner, ensuring accuracy in all tasks.
  • Previous experience in a receptionist, administrative, or customer service role, ideally within a fast-paced environment.

Desirable

  • Previous experience working within a GP surgery, primary care, or healthcare setting.
  • Hands-on experience using EMIS patient records system and healthcare software.
  • Experience handling confidential patient data and coordinating with medical professionals in a clinical environment.
