Job Description
Job summary
We are seeking a friendly and confident Receptionist for this busy and rewarding role.
The post holder will work under indirect supervision of the reception supervisor booking appointments for patients, dealing with queries both face to face and on the telephone. They will work collaboratively with the general practice team to meet the needs of patients, following policy and procedures.
Must be able to commit to the hours advertised and have the fexibility to cover sickness and annual leave.
Main duties of the job
To assist medical personnel in the care of practice patients
To provide reception support a to enable smooth and efficient running of the Practice
To act as a focal point of communication between patients, doctors, nurses and other members of the primary health care team
To work in accordance with specific practice guidelines and protocols

Job responsibilities
Reception Duties:
- Ensure an effective and efficient reception service is provided to patients and any other visitors to the Practice.
- Deal with all general enquiries, explain procedures and make new and follow-up appointments.
- Using your own judgment and communication skills to ensure that patients with no prior appointment but who need urgent consultation are seen in a logical and non-disruptive manner.
- Explain Practice arrangements and formal requirements to new patients and those seeking temporary cover and ensure procedures are completed.
- Receive and make telephone calls as required. Divert calls and take messages, ensuring accuracy of detail and prompt appropriate delivery.
- Enter requests for home visits into the home visits rota, ensuring careful recording of all relevant details and where necessary refer to Duty Doctor.
- Take details of repeat prescription requests
- Take action on clinicians requests for further information/patient contact information etc. (including computerised Practice notes), ensuring completion of all associated paperwork.
- Advise patients of relevant charges for private (non-General Medical Services) services, accept payment and issue receipts for same.
- Enter patient information on to the computer as required.

- Multitasking Ability Managing multiple tasks such as answering calls, booking appointments, and handling patient inquiries.
- IT Proficiency Comfortable using medical software, emails, and office applications.
- Confidentiality Awareness Understanding of patient data confidentiality and GDPR compliance.
- Problem-Solving Skills Ability to handle patient concerns and queries effectively.
- Teamwork Willingness to collaborate with doctors, nurses, and other administrative staff.
- Ability to Work Under Pressure Remaining calm and efficient in a busy healthcare environment.
Desirable
- Previous Receptionist or Administrative Experience Preferably within a healthcare setting.
- Knowledge of Medical Terminology Familiarity with common medical terms and procedures.
- Experience Using Medical Appointment Systems Such as EMIS, SystmOne, or similar software.
